This role offers the opportunity to own and optimize the technology powering a growing talent acquisition function. You’ll become the go-to expert for the recruiting systems ecosystem, ensuring tools, workflows, integrations, and data operate reliably and efficiently. Your work will directly improve the experience of recruiters, coordinators, and hiring teams while reducing manual effort through automation. You’ll work hands-on with systems such as Greenhouse and ModernLoop, alongside adjacent SaaS and internally built tools. - Administer and optimize the recruiting technology stack, including Greenhouse, ModernLoop, and related recruiting platforms and internally developed tools.
- Configure job templates, interview plans, scorecards, approval workflows, permissions, and other system components to support efficient hiring operations.
- Manage user accounts, roles, access levels, and permission groups across recruiting systems, ensuring appropriate access and timely offboarding.
- Build and maintain recruiting workflows and automations that eliminate repetitive manual tasks and improve operational efficiency.
- Own ATS data quality and hygiene, including deduplication, field standardization, routine audits, and processes that support reliable reporting.
- Support integrations between recruiting platforms and downstream systems, partnering with systems engineering teams to investigate and resolve data-feed issues.
- Provide first-line support to recruiters and coordinators, troubleshooting system questions and escalating complex issues with clear documentation and context.
- Manage relationships with technology vendors, including support requests, release management, feature rollouts, and configuration changes.
- Create and maintain documentation covering system configurations, standard operating procedures, troubleshooting guidance, and training materials.
- Identify opportunities to improve recruiting operations through automation and AI-enabled tools, helping the organization scale efficiently while maintaining accuracy and quality.
- 5+ years of experience administering recruiting systems, HR technology, or comparable business systems, with hands-on experience managing Greenhouse or a similar ATS.
- Strong working knowledge of interview scheduling platforms such as ModernLoop, including configuration and workflow management.
- Demonstrated experience managing SaaS user access, permissions, roles, workflows, and system configurations.
- Proven ability to improve data hygiene, establish reliable processes, and maintain reporting-ready recruiting data.
- Experience supporting integrations between multiple systems and collaborating with vendors or technical teams to troubleshoot issues.
- Strong automation mindset, with an interest in using AI-enabled tools and technology to streamline repetitive operational processes.
- Excellent analytical and problem-solving abilities, with meticulous attention to detail and a practical approach to resolving system issues.
- Ability to translate recruiter and coordinator needs into effective technical and system-based solutions.
- Strong written communication skills and a disciplined approach to documenting processes and system knowledge.
- Ability to work independently, prioritize competing requests, and operate effectively within a fast-moving, scaling organization.
- Experience with SQL and APIs is a plus.
- Base salary range of $126,000–$172,000 USD, depending on experience level and location.
