Job Description
William Carey International University is a Christ-centered institution
committed to equipping leaders for service around the world. As WCIU
continues to expand its academic programs, faculty partnerships, and
institutional impact, the Office of the Provost is seeking an
exceptional team member who can bring organization, clarity, and
thoughtful coordination to a growing academic environment.
About This Position
William Carey International University (WCIU) is seeking a highly capable
Executive Assistant to the Provost to support the work of Academic
Affairs during a season of significant growth, innovation, and
institutional development.
This role goes beyond traditional administrative support. The Executive
Assistant will serve as a trusted partner to the Provost, helping
coordinate academic initiatives, faculty engagement, recruitment
processes, executive communications, and key projects that advance the
mission of the university.
The ideal candidate is highly organized, proactive, mission-aligned, and
energized by helping leaders and teams move important work forward with
excellence.
What You Will Own
Executive Partnership
- Protect and steward the Provost’s time, attention, and priorities so she can lead at the level the institution needs
- Anticipate needs, close gaps, and move work forward without waiting to be directed
- Prepare briefings, correspondence, and decision-support materials that are clear, accurate, and ready to act on
- Track commitments and action items across initiatives so nothing important is lost between conversations
Strategic and Academic Coordination
- Conduct research and synthesize information that informs academic planning, faculty decisions, and institutional strategy
- Support the advancement of key initiatives through disciplined organization, documentation, and follow-through
- Contribute to process improvement efforts that strengthen how Academic Affairs operates
- Serve as a steady, reliable point of coordination across faculty, staff, leadership, and external partners
Faculty and Operational Support
- Manage faculty-related administrative processes including adjunct agreements, curriculum contracts, and onboarding coordination
- Support recruitment processes with professionalism and care, from candidate communication through hiring coordination
- Handle sensitive academic and organizational matters with discretion, integrity, and sound judgment
- Ensure the day-to-day operations of the Provost’s office run with excellence and without friction
Institutional Engagement
- Lead logistics for executive meetings, academic forums, leadership retreats, and institutional events
- Manage details across travel coordination, virtual platforms, stakeholder communications, and meeting preparation
- Represent the Office of the Provost with professionalism in every interaction
The Ideal Candidate
You may be a strong fit for this role if you:
- Enjoy helping leaders accomplish ambitious goals
- Thrive in a growing environment where priorities evolve and new opportunities emerge
- Naturally bring order and organization to complex work
- Communicate with warmth, professionalism, clarity, and discretion
- Have strong attention to detail while still seeing the bigger picture
- Take ownership of your work and follow through with excellence
- Enjoy coordinating people, projects, information, and next steps
- Are comfortable supporting change, growth, and new initiatives
- Find deep satisfaction in helping ideas become reality
This role is best suited for someone who does not need a highly
directive manager to do their best work. The Provost leads from a place
of deep reflection and quiet conviction. She will set direction and
trust you to carry it. The right person is energized by that kind of
autonomy, brings momentum to the work around them, and knows how to
protect a thoughtful leader’s time and attention without being asked.
