Job Summary
The Part-time Bookkeeper supports the organization’s finance function by maintaining accurate financial records, processing accounts payable and receivable, and assisting with reconciliations and monthly close activities.

This role works under the direction of the Controller and ensures compliance with established accounting procedures, internal controls, and documentation standards. The ideal candidate is detail oriented, organized, and experienced in nonprofit accounting environments.

Reports To: Controller

Schedule: Part-time (Non-exempt)/20–25 hours per week (based on organization’s needs)

Work Location: Hybrid (may require working on-site in Sacramento office based on organization’s needs). Must reside in California.

Key Responsibilities

Accounts Payable & Receivable

  • Process vendor invoices, bills, and payment requests in QuickBooks or similar system
  • Maintain complete vendor files, including W-9s, invoices, and approvals
  • Prepare and process weekly check processing for review and authorization
  • Support the maintenance of accounts payable aging and resolve discrepancies
  • Track accounts receivable, reconcile deposits, and assist with aged A/R follow-ups
  • Respond to vendor and staff inquiries regarding payments and documentation

Bookkeeping and Reconciliations

  • Perform data entry, journal entries, and routine bookkeeping tasks
  • Assist with monthly bank, credit card, and balance sheet reconciliations
  • Maintain organized, audit-ready financial records and supporting documentation
  • Support month-end close process and financial schedules

Financial Reporting & Compliance

  • Assist with budget vs. actual reporting
  • Support preparation of monthly financial statements and board reports
  • Maintain documentation for audits and grant compliance
  • Assist with grant tracking and reporting support

Internal Controls & Collaboration

  • Follow established accounting policies (GAAP), procedures, and internal controls
  • Apply accurate coding across accounts, classes and funding sources
  • Escalate discrepancies or questions to the Controller
  • Collaborate with internal teams on grant and contract related requirements
  • Maintain strict confidentiality of financial and organizational information

Accounting Administrative Support

  • Provide general administrative support to the Accounting Department: Filing, document management, mailing checks, etc.
  • Perform other related duties as assigned within the scope of the role

Supervisory Responsibilities: None

Qualifications

  • 2-3 years of bookkeeping or accounting experience required
  • Nonprofit accounting experience strongly preferred
  • Proficiency with QuickBooks (or similar) and Microsoft Excel
  • Strong attention to detail, organization and accuracy
  • Ability to meet deadlines and work collaboratively
  • Effective written and verbal communication skills

Education & Experience

  • Associate’s degree in accounting, finance, business administration, or related field preferred
  • Equivalent combination of education and experience will be considered
  • Experience with reconciliations, audits, and grant funded programs preferred

Environment and Physical Requirements

  • Work is performed in a professional office or remote setting with regular communication via email, phone, or through Teams.
  • Prolonged sitting and computer use
  • Occasional standing, walking and lifting up to 15 pounds

Compensation: $26-30 per hour, DOE
