About This Position

Job Title: Administrative Assistant - Construction

Location: Menomonie, Wisconsin

Job Type: Full-Time – Monday through Friday, 8:00 am to 4:30

Reports to: Director of Finance and Administration

Job Summary: The Administrative Assistant at Cedar Falls Building Systems, Inc. will support the team by providing essential administrative services and ensuring smooth office operations. This role involves various tasks that facilitate overall efficiency within the organization.

Key Responsibilities:

  • Represent Cedar Falls Building Systems, Inc. in a professional manner at all times.
  • General administrative duties, including in-person and phone reception, mail processes, correspondence, document management, and office errands.
  • Provide technical services, including working with construction plans, permits, contracts, and other project-related documentation.
  • Assist with Human resource functions, including onboarding, safety programs, and company policies and procedures.
  • Support accounting and bookkeeping functions, including payroll processing, accounts receivable, processing payables, vendor compliance, cash management, and report preparation.
  • Work closely with Finance, Administration, Marketing, Operations, Project Management, and field service teams to ensure adherence to company policies and procedures, appropriately disseminate necessary information, and facilitate continuous improvement within our organization.
  • Additional duties as required to ensure safe, efficient, and cost-effective operations.
  • Qualifications:

  • High school diploma or equivalent.
  • Previous experience as an administrative assistant a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with construction-specific software is a plus. (e.g., Autodesk Build, Sage 300 CRE)
  • Strong organizational skills with the ability to multi-task.
  • Excellent written and verbal communication skills.
  • A basic understanding of construction terminology and practices is a plus.
  • Attention to detail and problem-solving skills.
  • Ability to work independently as well as within a team.
