Job Title: Administrative Associate
We are seeking a dedicated and detail-oriented Administrative Associate to join our team. This multi-faceted role will provide administrative support to the Transportation Department, with a specific focus on payroll tasks. Responsibilities:
- Manage and maintain office supplies, equipment, and records.
- Answer phones, direct calls, and handle correspondence (emails, letters, etc.).
- Schedule and organize meetings, appointments, and travel arrangements.
- Assist with general office tasks, including filing, data entry, and maintaining digital and physical records.
- Assist Department Management in developing operational policies and guidance directly related to customer service objectives and expectations.
- Collect, review, and verify employee work hours, overtime, and absences.
- Process payroll on a bi-weekly/monthly basis, ensuring accuracy and timeliness.
- Daily use of the ADP payroll software system.
- Assist with recruitment activities once they have been turned over by Human Resources, including reviewing applications and scheduling interviews.
- Coordinate and support employees' onboarding and orientation processes for the Transportation Department.
- Help coordinate employee training, development, and performance evaluation processes in accordance with the Transportation Department’s policies and procedures.
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 2+ years of experience in administrative support and payroll.
- Proficient in MS Office (Excel, Word, Outlook) and payroll software systems.
- Strong understanding of payroll software systems.
- Excellent organizational skills, attention to detail, and the ability to prioritize tasks.
- Strong verbal and written communication skills.
- Ability to handle sensitive and confidential information with discretion.
Working Conditions:
- Full-time position (40 hours per week)
- Standard office environment
- Occasional overtime may be required
