The International Program is rooted in Andrew Carnegie’s founding vision - to advance peace as both the absence of armed conflict and the creation of conditions that sustain nonviolent growth and change. In an era of multidimensional crises - ranging from wars and migration pressures to disruptive technologies. The program seeks to catalyze peace through integrated, evidence-based approaches that bridge knowledge and action.

Position Summary:

The Operations Coordinator will report to and provide administrative support to the Vice President and coordinate all international program department-wide activities. The ideal candidate will be proactive, curious, detail oriented, and possess knowledge of, or interest in international affairs.

Responsibilities:

  • Assist the vice president in departmental management, planning and communication.
  • Organize meetings, projects, timelines and budgets
  • Draft, edit, and proofread correspondence, memos, talking points; grant-related material, and talking points.
  • Prepare grant-related materials for internal meetings and board meetings.
  • Serve as the point of contact for the international program, handling inquiries with discretion and sound judgment.
  • Conduct data gathering with program directors/officers and vice president to produce the annual review and updating program strategy paper.
  • Work with the vice president and program staff to support efficient and effective due diligence in grant making, including the review of all program materials for approvals, and follow up of all items to ensure deadlines are met.
  • Monitor and maintain the program budget and work with vice president and program staff in developing and monitoring annual administrative budgets.
  • Provide administrative support to vice president, including for travel, scheduling, correspondence, expense reporting and grants management.
  • Monitor status of proposals, circulate proposals for internal review, communicate with prospective grantees, and oversee program consultancies and their payments.
  • Process invoices and consultant contracts.
  • Maintain organized, accurate program files and records.
  • Identify opportunities to improve workflows and propose practical solutions.
  • Serve as point of contact to coordinate onboarding of new international program staff.
  • Perform miscellaneous duties as required.

  • Excellent organizational and interpersonal skills.
  • Superior written and verbal communication skills.
  • Discretion; initiative; flexibility, and good judgment.
  • Digitally savvy.
  • Undergraduate degree or minimum five years administrative experience.
  • Experience in AI-assisted research, applications, and ethical considerations.
  • Knowledge of or interest in issues of foreign affairs.

Salary Range: $85,000 - $90,000. New hires are typically brought into the organization between the minimum to midpoint of the salary hiring range posted depending on qualifications, experience, and internal equity.
