Position Overview:

The Legal Assistant is a key contributor to the Operations department, providing high-level administrative, organizational, operational, and strategic support. Reporting to the VP Legal Counsel – Operations, this position is responsible for managing administrative duties, streamlining legal operations, enhancing multi-departmental efficiency, coordinating communications, maintaining and managing documents, assisting with contract administration, and supporting cross-functional initiatives, including working directly with our Operations, Loan Operations, Investor Relations, Human Resources, and Acquisitions teams. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple, complex workflows while maintaining the highest standards of professionalism and confidentiality. As such, this position will be expected to act as a Redwood brand ambassador, promote our brand and provide the best resident experience possible.

Duties & Responsibilities:

  • Provide day-to-day administrative support to attorneys, paralegals, and related department personnel.
  • Track and manage internal legal and operations matters, including but not limited to, litigation files, corporate records and regulatory and governmental agency filings and transfers, including but not limited to Form D and Blue Sky filings, and telecommunications contracts and files.
  • Draft, manage, and track professional correspondence, respond to internal and external inquiries, and prepare internal communications, executive-level presentations, and departmental reports with clarity, professionalism, and timeliness.
  • Organize and manage legal files, litigation matters, and records using secure, efficient, and scalable systems.
  • Coordinate document execution, collection, and closing processes across internal teams and external stakeholders.
  • Assist with entity formation, including but not limited to organizational chart creation, operating agreements and related amendments, and interest transfers.
  • Oversee and work directly with internal and external accounting departments to facilitate legal invoice processing, outside counsel billing review and reconciliation, departmental budget support, financial reporting, expenditure tracking, and budget alignment.
  • Support legal counsel in the creation and implementation of policies and procedures.
  • Liaise with outside counsel, service providers, governmental agencies, and internal departments to support seamless communication, timely legal support, and coordinated business operations.
  • Leverage artificial intelligence (AI) and automation tools to improve productivity, support research and information retrieval, assist with document drafting and analysis, streamline legal and administrative workflows, enhance knowledge management, and maintain data security and confidentiality.
  • Provide project management support for legal initiatives, including cross-functional collaboration, milestone tracking, performance metrics, continuous improvement reporting, and strategic planning support.
  • Provide executive-level administrative support to legal and senior leadership, including scheduling and managing meetings, preparing agendas, coordinating logistics, and documenting follow-up items.
  • All other related duties as assigned.

  • Demonstrated ability to think critically, solve problems, and contribute to process improvements.


Required Qualifications:

  • Associate’s degree in related field
  • Minimum of 3 years of experience in a legal assistant, legal support, or paralegal role in a transactional and corporate law setting.
  • Advanced proficiency with Microsoft 365 and business productivity platforms, including Word, Outlook, Excel, PowerPoint, Teams, SharePoint, and Dynamics 365, with the ability to manage documents, records, workflows, reporting, collaboration, and data tracking.
  • Proficiency with AI tools to enhance efficiency, research, document drafting, information retrieval, and workflow management.
  • Experience with collaboration tools and legal billing and practice management systems.


Preferred Qualifications:

  • Bachelor’s degree.
  • Experience supporting real estate, litigation, finance, or M&A transactions.
  • Familiarity with SEC, state corporate filings, corporate governance, and compliance documentation.
  • Experience in both law firm and in-house legal environments.
  • Notary Public in Ohio (or ability to become an Ohio Notary Public).

Physical Requirements:

  • Must be able to use standard office equipment such as computers, desk phones, cell phones, photocopiers, etc.
  • Must be able to navigate stairs occasionally, particularly in the event of elevator outages or during emergency situations
  • Must be able to sit for extended periods of time, stand, bend, and walk with the ability to lift 30 pounds occasionally


Attendance and Scheduling:  

  • Punctuality and consistent attendance are essential for success in this role, and employees must adhere to set start times and assigned schedules.   
  • Occasional travel may be required for team outings, training sessions, or company-sponsored events, estimated at less than 5% annually.  
     

Work Environment:   

  • Job is performed in a professional office environment. 
  • Exposure to varying indoor temperatures depending on location in the building and season.  
  • Combination of natural daylight and standard office lighting throughout the workspace.  
  • Movement across multiple flooring types, including tile, carpet, and other transitions.  
  • An open workspace layout, defined by a shared space without traditional enclosed offices or high-walled cubicles, may introduce distractions or reduce privacy.  Possibility of shared desk spaces.
