Position Overview:

The Paralegal is a key contributor to the Operations departments, providing high-level and comprehensive legal, operational, administrative, and strategic support. Reporting to the VP Legal Counsel – Operations, this position is a paralegal generalist role that collaborates directly with in-house counsel, executive leaders, and external partners to assist with contract administration and management, corporate governance, litigation management, real estate matters, employment-related matters, Fair Housing matters, insurance matters, and compliance initiatives. The Paralegal will help to streamline legal operations, enhance departmental efficiency, and support cross-functional initiatives, including working directly with Loan Operations, Investor Relations, Operations, Human Resources, and Acquisitions teams. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple, complex workflows while maintaining the highest standards of professionalism and confidentiality. As such, this position will be expected to act as a Redwood brand ambassador, promote our brand and provide the best resident experience possible.

Duties & Responsibilities:

  • Review, draft, proofread, organize, maintain, and manage legal documents, corporate records, regulatory filings, and governmental agency filings, including but not limited to Form D and Blue Sky filings, to ensure accuracy, consistency, compliance, audit readiness, and legal integrity.
  • Track and manage internal legal approvals, coordinate timely responses, and maintain supporting documentation in accordance with applicable requirements.
  • Conduct legal research, synthesize findings, monitor developments in laws and regulations affecting Redwood, advise appropriate stakeholders, and recommend responsive actions to support legal counsel, business leaders, and ongoing compliance.
  • Draft, manage, and track professional correspondence, respond to internal and external inquiries, and prepare internal communications, executive-level presentations, and departmental reports with clarity, professionalism, and timeliness.
  • Assist with entity formation, including but not limited to organizational chart creation, draft and manage operating agreements and related amendments, and interest transfers.
  • Assist with Fair Housing compliance, including but not limited to evaluating, researching, and administration of reasonable accommodation and reasonable modification requests, while ensuring compliance with applicable laws, policies, and guidance.
  • Leverage artificial intelligence (AI) and automation tools to improve productivity, support research and information retrieval, assist with document drafting and analysis, streamline legal and administrative workflows, enhance knowledge management, and maintain data security and confidentiality.
  • Organize and manage legal files and records using secure, efficient, and scalable systems.
  • Coordinate document execution, collection, and closing processes across internal teams and external stakeholders.
  • Oversee legal invoice processing, outside counsel billing review and reconciliation, departmental budget support, financial reporting, expenditure tracking, and budget alignment.
  • Liaise with outside counsel, service providers, governmental agencies, and internal departments to support seamless communication, timely legal support, and coordinated business operations.
  • Provide project management support for legal initiatives, including cross-functional collaboration, milestone tracking, performance metrics, continuous improvement reporting, and strategic planning support.
  • Maintain corporate record books for affiliated entities and ensure timely updates.
  • Provide executive-level administrative support to legal and senior leadership, including scheduling and managing meetings, preparing agendas, coordinating logistics, and documenting follow-up items.
  • Support legal counsel in the creation and implementation of policies and procedures.
  • Support legal counsel by gathering information, preparing summaries, and assisting with analysis of relevant laws and regulations.
  • All other related duties as assigned.


Required Skills:

  • Excellent organizational and time management skills, strong attention to detail, and the ability to prioritize and manage multiple projects independently and collaboratively in a fast-paced environment.
  • Clear, concise communication skills—both written and verbal—with strong attention to detail.
  • Demonstrated ability to think critically, solve problems, and contribute to process improvements.

Required Qualifications:

  • Associate’s degree in paralegal studies (or similar legal related field) with minimum of 3 years of experience in a paralegal role in a firm or in-house setting.
  • In lieu of an Associate’s degree, a minimum 5 years’ experience in a paralegal role in a firm or in-house setting.
  • Paralegal Certification.
  • Notary Public in Ohio (or ability to become an Ohio Notary Public within 90 days after hire).
  • Advanced proficiency with Microsoft 365 and business productivity platforms, including Word, Outlook, Excel, PowerPoint, Teams, SharePoint, and Dynamics 365, with the ability to manage documents, records, workflows, reporting, collaboration, and data tracking.
  • Proficiency with AI tools to enhance efficiency, research, document drafting, information retrieval, and workflow management.
  • Experience with collaboration tools and legal billing and practice management systems.


Preferred Qualifications:

  • Bachelor’s degree in paralegal studies.
  • Experience supporting real estate, litigation, finance, or M&A transactions.
  • Familiarity with SEC, state corporate filings, corporate governance, and compliance documentation.
  • Experience in both law firm and in-house legal environments.

Physical Requirements:

  • Must be able to use standard office equipment such as computers, desk phones, cell phones, photocopiers, etc.
  • Must be able to navigate stairs occasionally, particularly in the event of elevator outages or during emergency situations
  • Must be able to sit for extended periods of time, stand, bend, and walk with the ability to lift 30 pounds occasionally


Attendance and Scheduling:  

  • Punctuality and consistent attendance are essential for success in this role, and employees must adhere to set start times and assigned schedules.   
  • Occasional travel may be required for team outings, training sessions, or company-sponsored events, estimated at less than 5% annually.  
     

Work Environment:   

  • Job is performed in a professional office environment. 
  • Exposure to varying indoor temperatures depending on location in the building and season.  
  • Combination of natural daylight and standard office lighting throughout the workspace.  
  • Movement across multiple flooring types, including tile, carpet, and other transitions.  
  • An open workspace layout, defined by a shared space without traditional enclosed offices or high-walled cubicles, may introduce distractions or reduce privacy. 
  • Possibility of shared desk spaces.
