The Human Resources Specialist role supports key Human Resources functions including new hire processing, benefits administration, leave of absence coordination, and HR systems management. Responsibilities:
New Hire & Onboarding
- Prepare and process new hire documentation, including Employee Change Notices (ECNs), new hire packets, and onboarding checklists Conduct new hire orientation and benefits orientation sessions Monitor and coordinate new hire benefits enrollment, including communications and arrears calculations
Compliance & Reporting
- Maintain I-9 compliance, utilize E-Verify and complete required state documentation Complete state new hire reporting (NY, OH, CO, CA) Support dependent eligibility audits
Benefits Administration
- Respond to employee and internal inquiries regarding benefits Prepare employer HSA funding files Reconcile benefit vendor billing with HRIS records (e.g., ADP) Audit 401(k) enrollment files for accuracy and compliance Process and approve benefit changes, including life events and new hire elections Maintain documentation for qualifying life events and calculate arrears Resolve 401(k) file discrepancies (backup support) Periodically review employee and benefits data and work along with leadership and third-parties to recommend strategic initiatives and benefit plan changes to increase employee satisfaction and cost-savings
Leave of Absence (LOA)
- Coordinate leave of absence cases with third-party administrators (e.g., Unum) Review LOA documentation and ensure compliance Process LOA and Return-to-Work transactions in HR systems Maintain FMLA and leave records Support leave tracking and reporting
HR Systems & Data Support
- Process employee data changes and HR actions in HRIS (e.g., ADP) Maintain HR systems and shared platforms (e.g., SharePoint) with up-to-date documentation Monitor HR inbox and route inquiries appropriately Support ECN processing and employee terminations (backup support) Resolve COBRA discrepancies Coordinate job title updates with IT systems
Employee Engagement
- Coordinate wellness program administration and communications Support employee engagement initiatives and events Assist with updating of ADP Assist information to provide benefits information to employees through an automated chatbot
Additional Responsibilities
- Develop and maintain standard operating procedures regarding the processes regularly performedSupport holiday schedule updates in HR systems (backup) Manage HR Service Center mailboxProcess offboarding documentation Complete ECNs for non-HR action updatesOther functions/tasks as needed
Minimum Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred 2–5 years of experience in Human Resources, with exposure to onboarding, benefits, and HRIS systems Experience with HR systems such as ADP and benefits platforms strongly preferred Working knowledge of employment laws and regulations (e.g., I-9, FMLA, ACA) Strong attention to detail, organizational, and problem-solving skills Excellent communication and interpersonal skills Ability to manage confidential information with discretion

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
