Role Overview
The Provisioning Coordinator is a key member of our Provisioning team, responsible for coordinating internal and external activities vital to the ordering, provisioning, and delivery of INDIGITAL services and products for new and existing customers. This role guides the customer implementation process — verifying order accuracy, coordinating with vendors and carriers, and ensuring smooth customer transitions from order initiation through circuit activation.
The Provisioning Coordinator operates at the intersection of project coordination, vendor management, and data integrity — managing multiple order types and circuit timelines simultaneously while keeping all stakeholders informed and aligned. The ideal candidate is organized, detail-oriented, and self-directed, with the initiative to work independently and the communication skills to collaborate effectively across teams.

Core Responsibilities
Carrier & Circuit Coordination:
- Coordinate with Amplix on all new circuit installations and renewals, ensuring accuracy, alignment, and timely execution.
- Submit circuit requests to Amplix, track order progress, and ensure delivery timelines are met to prevent project delays.
- Coordinate circuit activation with INDIGITAL network support and the carrier.
Documentation & Data Integrity:
- Manage and validate required order documentation, maintaining data integrity within Jira and ensuring all project records remain accurate and current.
- Track critical dates for circuit and equipment installations, keeping all department systems updated for cross-functional visibility.
- Maintain and update Telecommunications Service Priority (TSP) codes for service restoration prioritization.
Project Management Support:
Support Project Management by fulfilling circuit demands tied to new projects and network refresh efforts, coordinating requests and tracking delivery against project timelines.
- Manage unexpected and last-minute order changes, assessing downstream impacts and coordinating reschedules with all involved parties.
- Interface with Project Management throughout the order lifecycle to provide status updates.
Vendor & Customer Communication:
- Communicate with Amplix, vendors, agents, and internal resources to gather information required to complete provisioning orders, including all necessary follow-up.
- Interface with data centers and PSAPs throughout the order lifecycle to coordinate vendor access as needed.
Professional Responsibilities:
- Maintain clear, professional communication with management, vendors, and cross-functional teams regarding order status, timelines, and changes.
- Share relevant procedural and order-related information with employees and designated stakeholder groups accurately and in a timely manner.
- Prepare meeting agendas and support or lead coordination meetings as needed.
- Demonstrate cooperative work practices across multifunctional departments, managers, and business partners.
- Adapt quickly to new products, processes, and workflows to improve efficiency within the department.
Required Knowledge, Skills & Abilities
Technical
- Proficiency with MS Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace equivalents.
- Experience with network or ticketing systems; familiarity with Jira or similar platforms preferred.
- Familiarity with voice and data service types and telecommunications in a business environment preferred.
- Ability to quickly learn and adapt to new technologies, systems, and provisioning workflows.
Professional
- Excellent verbal and written communication skills, with the ability to deliver clear information across internal and external stakeholders.
- Strong attention to detail and organizational skills — critical for circuit documentation, order accuracy, and data integrity.
- Effective time management and ability to prioritize competing demands in a fast-paced environment.
- Strong problem-solving skills with the ability to manage escalations and resolve issues with a sense of urgency.
- Ability to work independently while collaborating effectively across all levels of the organization.
- Creativity in process creation and improvement; willingness to follow through and follow up on all assigned tasks.
Education, Experience & Certifications
- Education: High School Diploma or equivalent required; Associate’s Degree is a plus.
- Experience: 1–2 years of experience in telecommunications, customer support, carrier management, networking, or a related field preferred.
- Technical Skills: Familiarity with provisioning workflows, network elements, and ticketing systems is a plus.
- Communication: Strong verbal and written communication skills with the ability to engage vendors, customers, and internal teams effectively.
- Problem-Solving: Demonstrated ability to manage multiple priorities and resolve time-sensitive issues in a fast-moving environment.
Additional Requirements
- Willingness to work a flexible schedule as needed to meet departmental objectives; must remain accessible via communication device and coordinate coverage when unavailable.
- Valid driver’s license required.
