Job Description

About the Role

Printing and Visual Media Company is seeking an organized, detail-driven Project Manager to oversee the printing and fulfillment of in-store signage programs for our clients. In this onsite role, you will manage orders from intake through delivery, forecast new store needs, and make sure our team follows standard operating procedures (SOPs) while hitting every target and milestone.

You will serve as a key link between our brand partners, supplier partners, and internal teams, ensuring that every signage program is delivered on time, on budget, and to our clients' standards.

Key Responsibilities

  • Manage orders for in-store signage programs from intake through production, kitting, shipping, and delivery.
  • Forecast and plan for new store requests, openings, and seasonal or promotional campaigns to ensure materials are available when needed.
  • Ensure the team follows established SOPs and identify opportunities to improve processes, quality, and efficiency.
  • Track project timelines, budgets, and deliverables to make sure all targets and milestones are met.
  • Build and manage production, fulfillment, and delivery schedules, analyzing upcoming scheduling needs to plan capacity, set realistic timelines, and adjust as priorities shift.
  • Coordinate with brand, client, and vendor partners to understand program requirements, confirm specifications, and communicate status updates.
  • Proactively identify and resolve issues such as production delays, inventory shortages, or shipping errors.
  • Prepare regular reports on order status, inventory levels, forecasts, and performance against key metrics.

Qualifications

  • Bachelor's degree in business, supply chain, marketing, or a related field, or equivalent work experience.
  • 3+ years of project management experience, preferably in printing, retail signage, point-of-purchase (POP), marketing fulfillment, or supply chain.
  • Experience managing inventory and forecasting demand.
  • Familiarity with retail graphics needs for both mall-based and standalone stores, including window and storefront graphics, in-store signage and fixtures, varying store footprints, and mall landlord or property management guidelines.
  • Proven ability to manage multiple projects and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to give clear, timely updates to brand partners, supplier partners, and internal teams.
  • Confident leading meetings, setting expectations, escalating issues, and following up to keep every stakeholder aligned.
  • Professional, relationship-focused approach that builds trust with clients, brand partners, and vendors.
  • Exceptional organizational skills, with the ability to manage a high volume of orders, SKUs, and deadlines at once without losing track of details.
  • Ability to prioritize competing requests and keep multiple projects moving on schedule.
  • Must be able to manage a complex schedule and analyze scheduling needs, including anticipating lead times, identifying conflicts or bottlenecks, and re-sequencing work to meet deadlines.
  • Meticulous attention to detail in inventory counts, order specifications, and documentation, with well-organized files and trackers.
  • Advanced Microsoft Excel skills are a must, including pivot tables, VLOOKUP/XLOOKUP, complex formulas, and conditional formatting.
  • Ability to build and maintain Excel trackers, dashboards, and reports for inventory, forecasting, and order status.
  • Proficiency with the rest of Microsoft Office (Outlook, Word, PowerPoint) and project management or inventory tools.

Preferred Skills

  • Knowledge of print production processes, materials, and finishing.
  • Experience with ERP, warehouse management, or order management systems.
  • Experience supporting multi-location retail programs.
  • PMP or similar project management certification.
