Position_Description :

Job Overview

  1. Responsible for in-house processing of weekly multi-state hourly payroll (primarily union) and ensuring employees are paid on time and accurately, generating payroll-related reports, and assisting in payroll tax and other regulatory returns.

Primary Responsibilities

  1. Review new employee set-up information for completeness.
  2. Review reported employee time records; contact appropriate supervisors for any incomplete or unusual information.
  3. Accurately enter/proof all employee time information for pay, tax reporting, and other report processing.
  4. Prepare and distribute net pay (payroll checks and direct deposits) accurately and on time.
  5. Prepare, and upload payroll journal entries using automated ERP payroll system; verify completion of payments for tax withholding, employer taxes, dues, benefits, garnishments, 401k contributions, etc.
  6. Maintain current knowledge of applicable state and federal wage and hour laws and union contract agreements; ensure payroll software is appropriately updated.
  7. Ensure wage adjustments, special payments, tax allocations, and employee deductions are current.
  8. Respond to information requests and prepare and file payroll-related reports: government (e.g., certified payrolls), benefit plans, union reports, multi-state reporting, etc.
  9. Assist in preparing and filing quarterly and year- end payroll tax returns and addressing all issues/questions from tax authorities.
  10. Assist with preparation and distribution of earnings and tax withholding statements (W-2’s).
  11. Assist in preparation of schedules and other information for external auditors.
  12. Respond to and resolve employee questions and problems and ensure support is provided in a professional, courteous, and timely manner.
  13. Assist Payroll Team and management in designing and updating policies, procedures, and processes; assist in enforcing established policies.
  14. Perform other duties and responsibilities as needed.

  1. Traditional indoor office environment.

Physical Demands

  1. The physical demands are representative of but not limited to the physical exertion generally required to perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit for long periods of time while using a keyboard. They are frequently required to stand and walk. They are occasionally required to lift, carry, push, pull, and reach overhead materials up to 20 pounds, along with frequent gross manipulation using their hands. The visual requirements include demonstrating or having vision corrected to 20/20. In general, this position includes sedentary work that primarily involves sitting and/or standing as well as repeating motions that include the wrists, hands, and/or fingers.


Position Requirements :

Required Education, Experience, Knowledge, Skills, and Abilities

  1. 5 years in-house payroll processing experience, or associate degree in accounting or business administration with 5 years in similar role.
  2. Computer proficiency (MS Excel and Outlook)
  3. Knowledge of wage laws and tax regulations
  4. Detail oriented, professional, and reliable
  5. Strong analysis, organization, time management, and written and verbal communication skills
  6. Flexible, inventive, positive attitude – self-starter with a collaborative desire to see the team succeed
  7. Comfortable communicating with all levels of the organization

Preferred Education, Experience, Knowledge, Skills, and Abilities

  1. Knowledge and familiarity with basic accounting principles and practices
  2. Experience with union pay structures/rules/reporting in a sizable multi-state construction company
  3. Experience/Understanding in certified, prevailing wage rules
  4. Experience in an ERP environment – Vista Viewpoint
