If so, we have an exciting opportunity for you to work as a Program Specialist!

What You Will Be Doing

As a Program Specialist, you will support the statewide implementation of Parent Management Training - Oregon (PMTO) by coordinating trainings and meetings, tracking participant activities and progress, and providing information regarding model requirements. You will serve as a positive ambassador for PMTO while supporting state leadership, participants, and community partners.

Responsibilities include providing administrative support to the PMTO State Coordinator; scheduling meetings; taking meeting notes; developing reports, templates, flyers, and other program materials; compiling data for statewide marketing and promotion efforts; ordering and monitoring office and training supplies; tracking project deadlines; facilitating communication; and assisting with preparations for PMTO State trainings.

Additional duties include managing Continuing Education Units (CEUs) and training certificates, maintaining training records, and assisting with the setup and breakdown of trainings, conferences, and special events. This role is primarily based on-site, with some hybrid work arrangements possible. Some travel outside the Kalamazoo area and occasional evening work may be required to support training and conference activities.

What We Require
High School diploma or GED
and three years’ experience in office or administrative assistant role, OR a Bachelor’s Degree in a Human Services field and one year experience in an office or administrative assistant role. Experience in developing and maintaining tracking mechanisms, a strong background working with Excel spreadsheets as well as Publisher is preferred. Ability to support the confidential nature of developmental disability, mental health and substance use services. Excellent written and verbal communication, interpersonal, and relationship-building skills, with exceptional organizational and time management abilities. Proficient in Microsoft Office applications and other computer systems, including word processing, spreadsheets, database management, and email. You must also have a valid Michigan Driver’s license and reliable transportation.

Physical Requirements / Working Conditions:

Must be able to perform essential job functions with or without reasonable accommodations, including, but not limited to, visual and/or audiological appliances and devices to increase mobility.

Physical Efforts – Job demands include prolonged sitting and standing. Requires light lifting up to 25 pounds, stooping, kneeling, crouching, or bending. Requires coordination of hands and/or eye/hand/foot and ability to hear and communicate verbally.

Working Conditions – In office environment with noise from computers, copy machine, and telephones. Use of computer for periods in excess of 30 minutes at a time. May be exposed to bloodborne pathogens, infectious diseases, and parasites. May encounter community environments that include homes, schools, courts, and other community settings that may or may not be barrier-free. Travel throughout the Kalamazoo area may be required.
