Agent Licensing Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Agent Licensing Specialist based in United States.

This remote role supports the full licensing and appointment lifecycle for insurance agents across multiple jurisdictions. You will coordinate closely with agents, insurance regulators, vendors, and internal teams to keep licensing records accurate and up to date. The position combines regulatory administration, data management, compliance support, and customer service. You will independently review documentation, resolve discrepancies, and maintain critical agent information across internal and external systems. Your work will directly support agents' ability to operate and sell products compliantly. The role offers a collaborative environment with opportunities to contribute to process improvements, system testing, audits, and departmental projects.

Accountabilities
  • Manage agent licensing and appointment activities, including agent numbers, activations, terminations, non-codes, state appointments, license renewals, and expired licenses.
  • Review and update agent records, including biographical, demographic, banking, hierarchy, and other relevant information, ensuring data is accurate and complete.
  • Process rehires, approvals, promotions, demotions, transfers, splits, and other agent lifecycle changes in accordance with established procedures.
  • Maintain accurate commission-supporting hierarchies and correct system errors, rejects, and discrepancies that could affect agent payments.
  • Communicate directly with agents, state insurance departments, external vendors, and internal management through phone, email, and written correspondence.
  • Monitor shared mailboxes and respond promptly to inquiries while researching and resolving complex licensing or administrative issues.
  • Handle sensitive personal and payment-related information securely and maintain appropriate data storage and retrieval practices.
  • Conduct periodic data reviews, compliance vendor evaluations, state audit support, and mass-data assessments to maintain regulatory and operational accuracy.
  • Analyze and process state invoices and support accurate and timely payments.
  • Participate in licensing-system testing, programming implementations, process improvements, and departmental communications.
  • Identify workflow issues, interdepartmental concerns, emergencies, or other operational risks and escalate them appropriately and promptly.
  • Support general administrative activities such as filing, scanning, sorting, mail distribution, returned mail processing, and other projects as assigned.
Requirements
  • High school diploma or equivalent required; a college degree is preferred.
  • At least 2 years of professional office or administrative experience.
  • Previous experience in insurance, particularly agent licensing or regulatory administration, is highly desirable.
  • Experience working with databases, data-management systems, or other recordkeeping platforms is strongly preferred.
  • Accounting or financial administration experience is an advantage.
  • Strong attention to detail and the ability to independently review source documents, identify discrepancies, and maintain accurate records.
  • Ability to make sound, independent decisions while following established company policies, regulatory requirements, and operational guidelines.
  • Strong written and verbal communication skills, with the ability to interact professionally with regulators, agents, vendors, and internal stakeholders.
  • Ability to manage sensitive and confidential information with discretion and accuracy.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and respond quickly to time-sensitive requests.
  • Comfortable working in a remote environment while maintaining responsiveness, accountability, and effective collaboration.
