AIA Billing & Construction Project Coordinator

This position is posted by Jobgether on behalf of a partner company. We are currently looking for an AIA Billing & Construction Project Coordinator in Brazil.

This role is central to ensuring the smooth financial and administrative execution of commercial construction projects in a remote, U.S.-aligned environment. You will manage critical workflows such as AIA billing, construction contracts, bonding documentation, and project tracking across multiple active sites. The position requires a high level of precision, organization, and ownership to keep complex project data accurate and up to date. You will collaborate closely with contractors, vendors, municipalities, and internal teams to ensure timely billing, compliance, and documentation flow. Working across multiple priorities, you will act as an operational backbone that keeps projects moving efficiently. This is a highly detail-oriented role where structure, accountability, and proactive coordination directly impact project success.

Accountabilities:
  • Manage end-to-end construction contract documentation, ensuring accuracy, compliance, and proper lifecycle tracking.
  • Coordinate bid, performance, and maintenance bonds, including preparation, submission, and communication with bonding providers and stakeholders.
  • Prepare and submit AIA billing packages, including Schedule of Values (SOV), payment applications, and retainage tracking.
  • Monitor project billing cycles, deadlines, and payment milestones, proactively identifying and resolving discrepancies or delays.
  • Maintain and update project data in Buildertrend and related systems, ensuring accuracy across schedules, milestones, and documentation.
  • Support CRM and project tracking system integrity across active and completed projects.
  • Coordinate communication with contractors, vendors, municipalities, and internal teams to support project execution.
  • Assist with administrative and pre-construction tasks, including permits, contracts, and supporting documentation.
  • Participate in project meetings and provide timely updates on assigned responsibilities and project status.
Requirements:
  • Proven experience in commercial construction contract administration.
  • Strong hands-on knowledge of construction bonding processes (bid, performance, and maintenance bonds).
  • Direct experience with AIA billing, payment applications, Schedule of Values (SOV), and retainage tracking.
  • Strong proficiency in Microsoft Excel and Microsoft Office tools.
  • Excellent English communication skills, both written and verbal.
  • Strong organizational and time-management abilities with the capacity to manage multiple projects simultaneously.
  • High attention to detail with a strong focus on accuracy and deadlines.
  • Ability to work independently in a structured, fast-paced, and remote environment.
  • Experience with Buildertrend or similar construction management platforms is a plus.
  • Familiarity with CRM systems, construction financial tracking, or basic bookkeeping is a plus.
