HR Assistant

A little about this role: This role supports the HR team by managing essential HR administrative functions and helping ensure a smooth employee experience. This role will help coordinate onboarding and first-day experience for new hires, maintains accurate HRIS and employee records, and assist with benefits updates, employee changes, and separations. This position works closely with HR leadership and coordinates with IT, payroll, and managers while handling requests with strong attention to detail, confidentiality, and timely communication.

A day in the life:

New Hires – The HR Assistant is responsible for completing all required new employee paperwork including entry into our systems and company announcements. These tasks include:Sending offer letters to candidates for electronic signatureEnsuring candidates complete our background checkSetting up candidates in ADPOrdering business cardsCompleting the I9 employment verification with the new hire on their first day

The Assistant also works closely with IT, payroll, and our managers to ensure a smooth onboarding.

First Day Experience Execution – As the HR Assistant, you will work closely with HR leadership to execute the first day experience for new hires to the company. You will host a welcome call, providing information on the company history, systems, and who to contact. You will also provide key information such as deadline to enroll in benefits, how to enroll in 401K, etc.Employee Position Changes and Separations - You’ll prepare and process required paperwork for employee transfers, changes, salary increases, and separations other related employment matters. You will also be responsible for completing unemployment verification requests for separated employees.Benefits – As the HR assistant, you will work closely with the Benefits Manager to assist with managing our benefit plans. This includes making changes to benefits enrollments, plan setup and data feeds to our carriers. You will also assist with other projects as needed. HRIS Administration – You will work closely with HR leadership to assist with managing ADP. This includes permissions, access, personalization, and similar system operations and settings for HRIS users. Continually reviewing the new updates and what we should take advantage of.HR Record Keeping & Attention to Detail – Creating, updating, executing, filing and maintaining employee files, data and HRIS entry requires 100% accuracy and attention to detail as well as maintaining confidentiality and discretion with all data. You will also use the employee record to respond to requests for employment verifications.Special Projects - As necessary and/or requested.Communication is key – you are expected to have value-added, solution-oriented, positive and timely communication (both internally and externally) while building relationship with our teams around the country to be an added level of support. Being able to meet all deadlines and communicating along the way, is essential. HR Assistants are responsible for managing and prioritizing all incoming action requests. Quick turnaround times can often be expected.
