About This Position

Job Title: Human Resources Intern

Reports to: HR Manager / HR Director

Position Status: Internship

GENERAL PURPOSE OF JOB:

The Human Resources Intern will support the HR department with a primary focus on digitizing employee personnel files and ensuring all employee records within ADP are accurate, complete, and properly documented. This position will assist with scanning, organizing, and uploading employee documentation into the HRIS system while maintaining strict confidentiality of sensitive information.

This role provides hands-on experience in HR operations, HR systems management, and personnel file compliance. The intern will also support general HR administrative tasks and projects as needed to help maintain efficient HR processes and accurate employee records.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Review, organize, and digitize physical employee personnel files.
• Scan and upload employee documents into ADP employee profiles.
• Ensure required documentation such as offer letters, I-9s, W-4s, policy acknowledgments, and performance reviews are properly filed and labeled.
• Conduct audits of employee profiles in ADP to ensure all required documentation is present and compliant with company policies.
• Identify missing documentation and assist HR in obtaining and uploading required files.
• Maintain confidentiality and security of sensitive employee information.
• Assist with onboarding preparation, including document collection and personnel file setup.
• Help maintain HR tracking spreadsheets and internal records.
• Provide administrative support to the HR department as needed.
• Assist with HR projects, policy updates, employee communications, and other departmental initiatives.

REASONING ABILITY:

• Ability to prioritize tasks and manage multiple assignments efficiently.
• Demonstrate attention to detail and accuracy when handling employee records.
• Ability to follow established processes and identify inconsistencies in documentation.
• Exercise discretion and good judgment when working with confidential information.

LANGUAGE SKILLS:

• English required, Bilingual (English/Spanish) a plus

• Strong written and verbal communication skills.
• Ability to read, interpret, and organize employment-related documents.
• Ability to communicate professionally with HR staff and other departments when necessary.

EDUCATION and/or EXPERIENCE:

• Currently pursuing or recently completed a degree in Human Resources, Business Administration, or a related field preferred.
• Strong organizational skills and attention to detail.
• Basic proficiency in Microsoft Office (Word, Excel, Outlook).
• Interest in Human Resources operations or HR systems preferred.
• Experience with HRIS systems such as ADP is a plus but not required.
