About This Position
Position Overview:
The Sales and Events Coordinator assists in developing sales opportunities within the meetings, incentives, conventions, events, and leisure travel markets, and coordinates the administrative and operational aspects of groups, events, and programs for The Mob Museum. The individual in this role is an advocate for the Museum, supporting all departments in their efforts to grow the profitability of the organization and meet business goals. S/he will work closely with the Sales and Events teams, internal and external clients, and outside partners and vendors to ensure communication is consistent, event logistics are smooth, payments are on time, and clients are satisfied. In the Event Managers’ absence, the Sales and Events Coordinator supervises the Event Operations Associates. The Sales and Events Coordinator reports to the Senior Director of Sales and works closely with other team members across the organization to promote the Museum’s mission of advancing the public understanding of organized crime’s history and impact on American society.
Requirements:Major Tasks and Responsibilities:
· Under the direction of the Sales and Events team, coordinate all aspects of sales and events and administration from prospect through event execution.
· Foster positive working relationships with clients and prospects, vendors, partners, and internal customers by proactively anticipating needs and resolving needs in a timely and empathetic manner.
· Support the Sales and Events team with administrative functions, including answering phones, ordering office equipment, collecting payments, serving as project manager when assigned, preparing marketing materials, and running assigned reports.
· Track finances, including expense reports, budget to actuals, and profit and loss statements.
· Support sales activities, including arranging and preparing site inspections, proposals, contracts, turnover files, outbound sales activities.
· Maintain clean database, including data entry, logging activities, and monitoring changes.
· Support set up and management of existing and new broker partners.
· Support event preparation, including creating Event Orders, diagrams, permitting and licensing, conducting pre-planning visits and meetings, and scheduling staff.
· Maintain awareness of venue policies and procedures, ensuring client and vendor understanding and compliance.
· Manage vendors, including procurement, scheduling, contracting, payments, and commissions.
· Supervise and lead event setup and operations, including vendor management and setup according to client agreement and venue P&Ps, and monitoring pre/post equipment inventory.
· Maintain knowledge of Museum history and awareness of offerings.
· Continuous effort to improve operations, streamline processes, decrease costs, and uphold inter- and intra-department relations.
· Recruit, develop, coach, discipline, and conduct performance reviews of Event Operations Associates.
· Assist the Sr. Director of Sales with additional projects as assigned.
Experience / Qualifications / Requirements:
· 1 year of hospitality sales or customer service experience is required; 1 year of administrative or event coordination experience with staff supervision preferred.
· Prior experience with POS /ticketing systems, especially Galaxy platform, is preferred.
· Must be able to interact effectively with individuals at all levels of the organization, as well as a diverse array of clients.
· Must be able to work well under pressure and remain flexible to changing needs of clients and Museum operations.
· Proficient software competencies in Microsoft Office and common administrative procedures, including use of computers, phones, database management, and standard office equipment.
· Superior organization skills and attention to detail; judgement and discretion to prioritize and route tasks.
· Must have excellent written and oral communication skills; ability to consistently apply correct grammar and usage.
· Must have a polished and professional demeanor and strong interpersonal skills, including poise and diplomacy while presenting to management or the public, and navigating difficult and stressful situations with professionalism and guest-focused solutions.
· Must have high integrity and ethical character, with the discretion and tact necessary to handle sensitive and confidential situations.
· Eagerness for working in fast-paced environments, interacting with guests, and solving problems with a commitment to accepting responsibility.
· Ability to establish and maintain positive working relationships with co-workers, supervisors, vendors, community organizations, and the public.

· Ability to work frequent evenings, weekends, and holidays as needed.
· Must have the physical ability to work outdoors, stand for prolonged periods of time, and lift and maneuver heavy furniture and/or boxes that may exceed 50 pounds at a time and be awkwardly shaped.
· Must have their own reliable transportation.
Education: Bachelor’s Degree desired, or equivalent work experience is required.
