This is a Temporary to Regular hire.The Administrative Assistant is responsible for performing a wide range of administrative tasks in support of the Office and the Executive team.Core Responsibilities Schedule and coordinate meetings, prepare itineraries, plan logistics, and travel arrangements for Executive and Finance TeamsPerforms general administrative and clerical functions such as copying, printing, scanning, filing, and expense reports to support the Executive and Finance TeamsScreen all incoming phone calls, inquiries, visitors, and correspondence, and route accordinglyManage complex office administrative work requiring the use of independent judgment and initiativeAssists with the planning and execution of corporate events and activities, including, but not limited to conferences, staff events, philanthropic and community involvementCommunicate with industry conference and external meeting and conference coordinators to register Executive and Finance Teams, arrange meeting venues, schedule and coordinate travel.Assists with the coordination and adherence of internal and external users to brand design guidelines ensuring that all communications cohesively communicate the brandMaintains marketing collateral including stationery, brand guidelines, promo items, logos, and property photosIdentifies and contracts external vendors to create and purchase branded items for internal and external purposesHandles all front desk tasks such as answering phones, guest arrivals, and front desk coverageOpen, sort and distribute incoming mail and deliveries; prepares outgoing mail, including UPS, FedEx, and certified mailings.Maintains office efficiency by handling building and office inquiries and requests, such as supply requests, general repairs, badge access, business cards, office inventory, and other related tasks.Assist with other administrative tasks, including completion of surveys, forms, questionnaires, and other data requests.Maintain confidentiality of sensitive informationOther duties as assigned
SUPERVISORY DUTIES:This position has no supervisory responsibilities.QUALIFICATIONS:Education:This position requires a high school diploma, GED, or equivalent professional knowledge and/or work experience.Experience:This position requires 3 to 5 years of prior professional experience in a general office setting.Certifications/Licenses:No certifications/licenses are required for this position.Skills: Intermediate skills in Microsoft Word, Excel, PowerPoint, and Outlook are preferred for this position.Strong organizational skill sand ability to prioritize multiple tasks, strong attention to detail.Keyboarding skills are required for this position.WORKING CONDITIONS/PHYSICAL REQUIREMENTS:Working Conditions: Less than 5% of the time travel is required for this position.Physical Demands: This position requires the ability to see clearly at a distance of 20 inches or less to read documents and/or view computer screen.This position requires the ability to hear and talk and to communicate in person and via phone on a daily basis.This position requires the ability to use hands/fingers to enter, retrieve and/or manipulate data using a computer keyboard.
