About the Role:

The Front Desk Agent serves as the primary point of contact for clients, visitors, and employees within the management company, ensuring a welcoming and professional environment. This role is critical in managing front desk operations, including greeting guests, handling inquiries, and coordinating communication between departments. The Front Desk Agent is responsible for maintaining accurate records, managing appointments, and facilitating smooth administrative processes. By providing exceptional customer service and efficient administrative support, the agent contributes to the overall positive reputation and operational success of the company. This position requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously in a fast-paced environment.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience in a front desk, receptionist, or customer service role.
  • Strong verbal and written communication skills.
  • Proficiency with office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and manage time effectively in a dynamic environment.

Preferred Qualifications:

  • Associate’s degree or higher in Business Administration or related field.
  • Experience working in a corporate or management company setting.
  • Familiarity with visitor management systems and office equipment.
  • Basic knowledge of security and safety procedures.
  • Bilingual abilities or additional language skills.

Responsibilities:

  • Greet and welcome visitors and clients promptly and professionally, ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls while providing accurate information or directing calls to appropriate personnel.
  • Manage scheduling and appointment bookings for company executives and meeting rooms.
  • Maintain and update front desk records, including visitor logs and security protocols.
  • Coordinate with various departments to facilitate communication and resolve visitor or client inquiries efficiently.
  • Handle incoming and outgoing mail and deliveries, ensuring proper distribution.
  • Assist with administrative tasks such as data entry, filing, and preparing documents as needed.
  • Ensure the front desk area is tidy, organized, and equipped with necessary supplies.
