Description:

Join a team that coordinates one of Kentucky's largest youth entrepreneurship programs! Each year, nearly 3,000 girls participate in our Cookie and Fall Product Programs, generating more than 800,000 packages sold while developing confidence, financial literacy, business skills, and leadership. We're looking for a Product Program Coordinator who enjoys bringing complex projects to life, building strong volunteer partnerships, solving logistical challenges, and continuously improving systems.

This position is designed as a leadership development opportunity. Candidates who demonstrate strong performance in project management, volunteer leadership, financial stewardship, and organizational leadership may advance into a Product Program Manager role. This is an in-person position based out of Lexington, KY, and is most suitable for someone strong in strategic thinking and logistics coordination who finds value in making the connections necessary to reach success.

In your first year you will:

  • Build relationships with volunteers across 67 counties.
  • Successfully coordinate the Cookie and Fall Product Programs.
  • Learn council systems instrumental to product program sale success.
  • Support and lead volunteer trainings.
  • Analyze sales trends and recommend improvements.
  • Help achieve annual council sales goals.

Diving Deeper - Essential Duties & Responsibilities:

Product Program Planning & Oversight:

  • Arrange logistics for product program events including but not limited to: staff and volunteer trainings, rallies/celebratory events, internal meetings, and sales booths.
  • Maintain a flexible schedule that allows for full support of the product programs which could include weekend, evening, and otherwise adjusted business hours.
  • Monitor sales progress, track inventory across sites, and coordinate order processing and distribution.
  • Maintain accurate records of sales, orders, and volunteer participation for year-over-year evaluation.
  • Prepare reports on program performance and progress towards goals to share with leadership staff.

Training and Communications:

  • Develop and deliver training materials and presentations for volunteers on all aspects of the Cookie Program (e.g., sales techniques, customer service, girl and adult safety).
  • Provide ongoing support and guidance to volunteers throughout the program/sale seasons.
  • Coordinate public relations and community outreach efforts with the Chief Communications and Development Officer to strategically promote product programs.
  • Communicate with volunteers and staff throughout the sale with changes, policies, and frequent updates, ensuring transparency in and around the sale.

Administrative Support:

  • Monitor product program expenses and product movement, ensuring our council reaches or surpasses set financial and product sales goals.
  • Maintain product program files and records; working throughout the year with Chief Administrative Officer, CEO, and Adult Engagement team to find solutions for any product debt, volunteer conflicts, or other product program challenges.
  • Arrange and plan meetings for product program vendors to review contracts and establish an annual plan of action that provides context and support for upcoming goals and initiatives.

Customer Service:

  • Project a positive and professional image of Girl Scouting.
  • Provide and ensure professional, superior customer service is provided to all internal and external customers, members, volunteers, staff, and other community contacts.
  • Active participation in the development of environments that foster diversity, equity, inclusion, and belonging, and access through words, actions, and attitude.

Other duties as assigned to meet the Council’s goals.

Requirements:

MINIMUM QUALIFICATIONS AND REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The expectations listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience:

  • Bachelor's degree and/or equivalent experience in related fields (business administration, sales, marketing, training, volunteer management, membership relations).
  • Experience managing multi-faceted programs and/or large-scale projects.
  • Experience working in a cross-departmental environment and ability to collaborate successfully.

Expectations:

  • Strong organizational skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data management software products a plus.
  • Discretion, professionalism, and a strong sense of confidentiality. High standards of personal accountability.
  • Adhere to all Council policies and procedures.
  • Ability to think quickly and logically under pressure.
  • Excellent judgment, with the ability to work independently, plan, organize and manage multiple projects and meet deadlines in a timely order in a continually changing work environment.

  • Travel as the job requires.
  • Work a flexible schedule including evenings and weekends.
  • Ability to sit at a computer workstation for extended periods of time.
  • Physical ability to lift, carry, set up work-related supplies and/or equipment weighing at least 30 pounds.
  • Full range of body motion including manual and finger dexterity and eye-hand coordination.
  • Provide own method of transportation, maintain valid driver's license with appropriate insurance.
  • Pass initial and periodic background and driver checks.
