Job Description
Functioning within the Health System’s mission, values, objectives, policies, and procedures, the HR Administrative Assistant functions independently serving as a liaison responsible for coordinating communication, both verbal and written, between the HR Department and other Health System departments. The HR Administrative Assistant receives visitors and associates graciously and efficiently and routinely assists other HR team members. S/he responds to calls, visits, letters, emails, etc. by prioritizing and responding, disseminating both confidential and routine information according to LMHS and department guidelines. The HR Administrative Assistant performs a variety of administrative tasks including, but not limited to, processing department check request/invoices, maintaining/ordering department supplies, reviewing and updating HR and associate forms, scanning documents into associate electronic personnel records, recording course attendance in the LMHS learning management system, and maintaining office equipment. Serves as a back-up to maintaining the LMHS job description database and generating approved revisions to job descriptions. S/he coordinates the LMHS job shadowing program, Spirit Grams, Associate Relief Fund program, LMHS Associate Angel program, Associate Fair Picnic, and the Associate High Five Recognition program. The HR Administrative Assistant provides administrative support for committees. As a Super User for Policy Tech, the HR Administrative Assistant serves as a resource for policy updates. S/he also is the backup administrator for LMHS’ learning management system.
Education: Associates degree or specialized training with business oriented courses is preferred.
Licensure/Certification: None required.
Experience: Three to five (3-5) years of equivalent business work experience is required.
Skills: Must have strong organizational, communication, and administrative skills and the demonstrated ability to handle sensitive and confidential situations with poise, tact and diplomacy. Must also be able to work independently with minimal supervision and work rapidly under stressful conditions with frequent interruptions. A broad knowledge of computer skills in word processing and databasing (including the following software: Microsoft Office products) is required. Above average spelling, grammar, composition and common skills are also required
