POSITION SUMMARY
The Global Marketing Operations Administrator provides essential operational support to the global marketing team by maintaining Smartsheet assets, updating reports, managing project documentation, and ensuring data accuracy across systems. This role is highly detail-oriented and plays a key part in keeping marketing workflows organized, consistent, and running smoothly. The position supports both the Marketing Operations Manager and the Assistant Manager in executing daily operational tasks and maintaining high-quality standards.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
Requirements:ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain and update Smartsheet sheets, reports, dashboards, and automated workflows.
- Support the creation and upkeep of project plans, timelines, and documentation.
- Ensure data accuracy and consistency across marketing systems and shared workspaces.
- Assist with file organization, naming conventions, and adherence to established structure standards.
- Provide administrative support for marketing operations processes, including meeting notes, task tracking, and follow-ups.
- Help prepare reports and summaries for leadership and cross-functional teams.
- Support onboarding and training activities by preparing materials and assisting with tool demonstrations.
- Monitor operational queues, requests, and updates to ensure timely resolution.
- Assist with system audits, data cleanup, and process documentation.
QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree in marketing, Business, Communications, or related field.
- 1–3 years of experience in marketing operations, project coordination, or administrative support.
- Working knowledge of Smartsheet or similar project management tools desired.
- Strong attention to detail and commitment to data accuracy.
- Ability to follow establish processes and maintain organized documentation.
- Strong communication and teamwork skills.
- Basic understanding of marketing workflows or marketing technology tools is a plus.
- Ability to manage multiple tasks in a fast-paced environment.
Work Environment & Physical Demands
Travel requirement: Up to 10% of travel required (domestic and international); valid passport required.
LifeWave will operate as an in-office organization, and all employees are required to work onsite in alignment with corporate policy. While performing the duties of this job, the employee is regularly required to work at a computer workstation and be mobile within the office. Occasional movement of up to 25 pounds may be required.
