Job Description

Job Summary:

The Inside Sales & Contracts Coordinator is a customer-facing commercial role responsible for supporting AFD Petroleum's Sales team in winning and retaining profitable business across all of AFD's product and service offerings.

This role is the day-to-day commercial connection between our Sales advisors, our customers, and the internal teams that support them. The primary focus is inside sales execution and contract coordination, ensuring advisors have what they need to quote confidently, proposals and contracts are commercially sound and margin protected, and customer relationships are supported with accuracy and responsiveness at every touchpoint.

This position works closely with the Sales team, Supply and Pricing, Operations, Safety, and Finance daily. Occasional travel is expected as part of this role

Job schedule is Monday-Friday, 8 a.m.-5 p.m.

What you will do day-to-day:

Inside Sales & Advisor Support

  • Act as a primary inside sales support resource for Fuel Advisors across all branches.
  • Respond to customer and advisor inquiries related to pricing, quotes, and commercial information.
  • Coordinate quote preparation using current pricing inputs and approved margin guidelines.
  • Support account renewals, new business proposals, and customer retention activities.
  • Identify and communicate upsell, cross‑sell, and retention opportunities to the Sales team.

Pipeline, CRM & Account Support

  • Maintain visibility of the active sales pipeline and quote status within the CRM.
  • Coordinate follow‑ups on outstanding quotes and proposals with advisors.
  • Track won and lost opportunities, capturing pricing and competitive insights.
  • Maintain accurate CRM records, customer pricing history, and account documentation.

Contracts & Proposals

  • Coordinate preparation of fuel supply proposals, contracts, and commercial agreements.
  • Support RFP responses by gathering inputs from internal teams and coordinating submissions.
  • Maintain contract and renewal tracking, proactively flagging upcoming expiries.
  • Ensure pricing communications and contract terms align with approved margins and structures.

Pricing Coordination (Internal)

  • Work closely with the Pricing team to ensure pricing accuracy and consistency.
  • Verify margin compliance on quotes and escalate exceptions when required.
  • Support communication of pricing updates to advisors.
  • Share market and competitive insights to support pricing analysis and reporting.

What you need to succeed:

Education

  • Post-secondary diploma or degree in Business, Commerce, or a related field preferred.
  • High School Diploma required.

Experience

  • 3+ years of experience in inside sales, commercial coordination, contracts administration, or customer service, ideally in fuel, energy, commodities, or distribution.
  • Demonstrated experience supporting a Sales team in a fast-paced, customer-facing environment.
  • Experience coordinating proposals, contracts, or RFP responses across multiple departments.
  • Familiarity with fuel distribution, rack pricing, or supply agreement structures is considered a strong asset.
  • Experience with Business Central, Power BI, or similar ERP and reporting platforms preferred.

Other Skills and Knowledge

  • Customer‑ and advisor‑focused, with a responsive, reliable, and commercially aware approach.
  • Strong written and verbal communication skills, able to clearly present pricing and commercial information to advisors, customers, and internal stakeholders.
  • Highly organized with strong follow‑through, capable of managing multiple quotes, proposals, and contracts simultaneously.
  • Detail‑oriented, with a strong focus on pricing accuracy, margin compliance, and contract terms.
  • Proactive communicator who anticipates needs and acts ahead of requests.
  • Comfortable collaborating across Sales, Supply, Operations, Safety, and Finance teams.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
