Compensation: $40,000-$60,000

Position Summary:

The HR Assistant provides administrative and operational support to the Human Resources Department by assisting with recruitment, onboarding, employee records management, benefits administration, employee relations, HR compliance, and general office operations. This position serves as a first point of contact for employees, applicants, and visitors, ensuring responsive customer service while maintaining the confidentiality of personnel information.

As part of SAH, the HR Assistant supports the organization's mission by helping recruit, retain, and support a diverse workforce dedicated to delivering compassionate, equitable, and high-quality healthcare to the communities it serves.

Essential Functions
  • Provide administrative support to the Human Resources Department and HR leadership.
  • Answer telephone calls, emails, and walk-in inquiries from employees, applicants, and visitors, responding to routine questions or directing inquiries to the appropriate HR staff.
  • Prepare, proofread, and distribute HR correspondence, reports, presentations, and other documents.
  • Maintain HR calendars, schedule interviews, meetings, orientation sessions, and employee appointments.
  • Order and maintain office supplies and assist with departmental administrative functions.
  • Coordinate applicant interviews and communicate with candidates throughout the hiring process.
  • Prepare new hire packets, and onboarding materials.
  • Assist with pre-employment activities, including background checks, employment verification, reference checks, and occupational health clearances, in accordance with hospital policy.
  • Coordinate new employee orientation and onboarding schedules.
  • Create, maintain, and update confidential employee personnel files in electronic and paper formats.
  • Process personnel action forms, employment status changes, transfers, promotions, and separations.
  • Ensure accurate data entry into the Human Resources Information System (HRIS).
  • Verify completeness and accuracy of employee documentation.
  • Assist with maintaining compliance with federal, state, and local employment regulations and accreditation requirements.
  • Assist with preparation for audits, accreditation surveys, and regulatory reporting.
  • Provide administrative support for employee recognition programs, engagement activities, and HR initiatives.
  • Coordinate employee training sessions, educational programs, and mandatory compliance training.
  • Assist with maintaining employee communications and HR bulletin boards.
  • Provide exceptional customer service to employees, managers, applicants, physicians, volunteers, and community partners.
  • Respond professionally and courteously to requests while maintaining confidentiality.
  • Assist employees in navigating HR processes and available resources.
  • Participate in HR process improvement initiatives to enhance operational efficiency and employee experience.
  • Participate in departmental meetings and mandatory education.
  • Maintain strict confidentiality regarding employee, applicant, and organizational information.
  • Demonstrate professionalism, integrity, and sound judgment in all interactions.
  • Perform other duties as assigned.

Qualifications:

  • High school diploma or GED.
  • Minimum of two (2) years of administrative experience in Human Resources, healthcare administration, business administration, or a related office environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with data entry and records management.
  • Knowledge of general human resources practices, administrative procedures, and customer service principles.
  • Basic understanding of employment laws, confidentiality requirements, and HR compliance.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong written, verbal, and interpersonal communication skills.
  • Exceptional attention to detail and accuracy in recordkeeping and data entry.
  • Ability to exercise sound judgment and maintain strict confidentiality.
