What You’ll Do
The Bilingual Phase I Document Specialist represents StartCHURCH by providing customers with an excellent and professional Phase I appointment and document preparation service while working with a team of specialists and other staff to obtain non-profit formation and exemption status for the organization, building and keeping a long-lasting partnership with clients. Works with the team in a way that provides the highest form of legendary customer service to internal and external customers as defined below:
- Internal - people who have a relationship with, and within, our company, either through employment or as partners who deliver your product or service to the end user, the external customer
- External - people who pay for and use the products or services our company offers
All tasks below should be carried out for the purpose of excellence in what we do and with the intent to honor and validate the client.
As a Bilingual Phase 1 Document Specialist at StartCHURCH, you will:
- Maintain company-established completion rates for the movement of clients through each service including, but not limited to, scheduling and conducting appointments; contacting clients to request required information necessary to complete services; completing documents once needed information is on file (i.e. Articles of Incorporation, Bylaws, and other state level compliance/governing documents.); and ensure successful client follow-up within the KPI metrics.
- Above all, provide high-level customer service to establish and maintain a positive working relationship with clients throughout the entire process of applying for tax exemption.
- Create, edit, and format compliance documents by transcribing data collected from the customer through various documents from electronic forms and converting documents to/from different file formats.
- Submit state online filings when applicable.
- Research state rules and regulations for updates and new tools that will help serve our clients.
- Be a subject matter expert in the Phase I process to include all job-related communications and functions, providing instructions and resources, addressing inquiries that may arise, and implementing action plans according to administrative policies and procedures for both internal and external clients by utilizing relevant methods.
- Complete all assigned jobs by the deadline in an accurate and timely manner.
- Be punctual and participate in team meetings, training, conferences, projects, and team activities to develop relevant knowledge and skills.
- Display excellent interpersonal skills to build quality relationships with the team and with customers.
- Adhere to stated policies and procedures relating to health, safety, and quality management.
- Provide team phone support and assist with special projects.
- Additional responsibilities may be added to ensure customer satisfaction and quality assurance.
