About This Position

Delaware Claims Processing Facility is seeking an Administrative Coordinator/Communications Specialist to join our newly formed External Audit Team located in downtown Wilmington, Delaware

Position Overview

We are seeking a detail-oriented and highly organized Administrative Coordinator/Communications Specialist to join our External Audit team. This hybrid role combines administrative coordination with specialized communications responsibilities, requiring someone with legal assistant or paralegal background who can effectively manage external relationships and internal reporting processes. The ideal candidate will serve as a critical liaison between our audit team, external law firms, regulatory agencies, and internal stakeholders.

Key Responsibilities

External Communications & Reporting

  • Draft and manage professional communications with external parties including law firms, auditing agencies, medical offices, and regulatory bodies
  • Generate comprehensive reports for internal stakeholders, including executive leadership and audit committees
  • Review, proofread, and assist with preparation of legal documents and formal responses
  • Facilitate communication between internal departments and external audit teams
  • Coordinate responses to external requests, gathering information from appropriate personnel
  • Maintain accurate records of all external communications and audit-related correspondence

Administrative & Legal Support

  • Serve as primary liaison for external audit activities, coordinating with external auditors, law firms, medical offices, and regulatory agencies
  • Organize, maintain, and manage audit documentation, ensuring version control with strict confidentiality protocols
  • Schedule and coordinate audit meetings; prepare meeting materials and logistics
  • Manage complex calendars, tracking critical deadlines and milestones

Qualifications

Skills & Experience

  • Exceptional written and verbal communication skills for professional correspondence
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Meticulous attention to detail in document review, data entry, and report preparation
  • Ability to manage multiple priorities, deadlines, and complex projects simultaneously
  • Demonstrated ability to handle sensitive and confidential information with discretion
  • Strong understanding of legal terminology, procedures, and document preparation
  • Experience with document management systems and legal/compliance software a plus

Education

  • Associate's degree or equivalent relevant experience
  • Bachelor’s degree in Legal Studies, Business Administration, or related field preferred
  • Paralegal certification or completion of paralegal studies program a plus
