The Production Administrative Assistant will be responsible for supporting the administrative functions of the manufacturing facility. This role will report to the Plant Manager, and assist directly with the daily, weekly, monthly, and occasional tasks within the plant.

Requirements:

Key Responsibilities:

• Answering phone calls and responding to emails in a professional and timely manner.

• Scheduling shipping/receiving appointments and updating appointment calendar.

• Greeting and checking in truck drivers that arrive for scheduled and unscheduled pickups or deliveries.

• Entering production assemblies, verifying quantities produced, allocating product to customer orders.

• Updating paperwork, lot codes and locations for produced orders.

• Communicating with Customer Service regarding completed orders.

• Printing daily sales orders.

• Reviewing Production Schedule to print formulas for production.

• Printing pallet tags for production with batch codes and customer ID number and assist with bag labeling.

• Checking and approving timecards in our payroll system.

• Entering Production Line Bonuses for payroll.

• Tracking attendance points for production team.

• Enter and calculate daily production data to determine Plant Output Goal and Bags Per Man Hour.

• Scan, update, and maintain Production Logs.

• Perform Cycle Counting and assist with Inventory.

• Assist HR & Plant Manager with new hires onboarding and completing I-9 employment verification.

• Package, print, and prepare shipments for UPS pickup. Distribute received packages.

• Participate in the Events Committee to plan and coordinate occasional company events and location-wide meetings.

• Other projects as needed

Qualifications:

• Previous experience with scheduling, or customer service, warehouse/inventory in a manufacturing environment

• Reliability, consideration of deadlines, and outstanding attendance

• Ability to perform self-driven tasks, work independently.

• Proficiency or advance knowledge of various computer programs (Great Plains, Business Central, Paylocity, Microsoft Office including Excel, Microsoft Teams, and SharePoint)

• High level of organization, accountability, analytical skills, and strong attention to detail

• Ability to multi-task in a fast-paced environment

• Excellent customer service and communication with internal and external parties

• Willingness to learn, adapt, and engage in continuous improvement.

• A positive, outgoing attitude

Working Conditions:

This position is in a manufacturing environment with multiple buildings. The primary workspace will be in a mobile office trailer. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, printers, scanners, and fax machines. This position will require sitting, standing, walking, seeing, hearing, reaching, reading,

While performing the duties of this job, the employee is regularly required to sit, talk, and hear. The employee frequently is required to use hands to type, handle or feel objects, tools, or controls.

The employee may occasionally be required to stand, walk, bend, or reach with hands and arms. Must be able to lift and/or move up to 15 pounds occasionally.

The essential functions of this position will require walking outdoors in all weather conditions to other buildings on the grounds to attend meetings, take breaks, and perform various tasks. Walking distance from the primary workspace to other buildings can be up to or exceed 200 feet away.
