Position Summary:

The Event Sales Coordinator is a full-time role focused on supporting the sales and planning lifecycle for private events, weddings, and cultural programming at our Manhattan and Brooklyn properties. Working closely with the Events Director and broader venue team, this position helps manage inquiries, proposals, and client communications, while supporting day-to-day administrative tasks, CRM upkeep, and event execution prep.

The ideal candidate is detail-oriented, client-focused, and excited to contribute to a collaborative and dynamic venue environment. This is an excellent opportunity for someone with prior experience in event coordination or hospitality looking to step into a sales-facing role.

Key Responsibilities:

Sales & Client Support:

  • Assist in managing inbound inquiries for weddings, private events, and brand activations.
  • Schedule and help conduct venue tours and walkthroughs with prospective clients.
  • Draft and manage proposals, contracts, and client follow-ups via Tripleseat, Prism, and Sage.
  • Maintain accurate CRM records and timelines across platforms.
  • Coordinate client communication from inquiry to booking, ensuring a seamless and responsive experience.
  • Help prepare client-facing sales materials, venue decks, and marketing collateral.
  • Collaborate with the marketing team on sales outreach efforts, social leads, and event listings.

Event Planning & Coordination:

  • Assist with pre-event planning and timeline management in collaboration with internal departments.
  • Attend and support BEO (Banquet Event Order) meetings and distribute internal documentation.
  • Coordinate with production and operations teams to align on logistics and client needs.
  • Be present on-site for select events to support client communication and day-of coordination as needed.
  • Log and update post-event summaries, feedback, and internal debriefs.

Administrative & Operational:

  • Track event revenue, pipeline status, and weekly sales metrics.
  • Maintain and organize digital files and folders related to booked events.
  • Manage and monitor venue calendars, event holds, and booking workflows.
  • Support with inventory and client rental coordination when applicable.

Qualifications:

  • 2–3 years of experience in event coordination, venue sales, hospitality, or related fields.
  • Working knowledge of event platforms including Tripleseat, Prism, Sage, and Google Workspace (Docs, Sheets, Calendar).
  • Strong written and verbal communication skills with a client-first approach.
  • Highly organized and detail-oriented; capable of multitasking across several events or clients.
  • Comfortable working some evenings and weekends based on event schedules.
  • A collaborative team player who thrives in a creative, fast-paced environment.

Compensation & Schedule:

  • Full-Time Salary: $65,000 annually
  • Role requires some evening and weekend availability tied to event production timelines and walkthroughs.
