We are searching for a highly motivated individual to join our production team as a Purchasing Specialist. Reporting to the CFO, this candidate will be responsible for overseeing a portion of our purchasing requirements, gathering and preparing purchase orders as needed, managing supplier relationships, and maintaining professional on-time communication through telephone and email. As a Purchasing Specialist, our ideal candidate will be able to learn our product and needs, support their teams, work closely with the company controller, and be a part of our company’s support system while ensuring information is updated appropriately and error free.

This role is on-site Monday-Friday

Responsibilities:

  • Experience with Procurement and client communication in a mid-size business is a requirement
  • Review job requisition orders and pair PO with the most dependable supplier
  • Ensure Vendor/Contract negotiations are executed properly
  • Collect requisition forms from different departments for accessories, packaging materials, general maintenance supplies, and create Purchase Orders
  • Review and Sign Purchase Orders with Controller
  • Liaise with internal design department to ensure drawings are received/up to date to correspond with clientele and internal teams
  • Communicate with external vendors to complete and sign Purchase Orders
  • Regularly monitor delivery/receival status of items, and keep supervisors updated with possible delays
  • Maintain purchasing records including inventory
  • Research and identify alternative vendors for frames, foam, and other items as needed
  • Assist in streamlining and creating purchasing processes
  • Work closely with accounting department to facilitate on time payments
  • Create appropriate documentation and communication practices for purchasing team
  • Work closely with project managers to ensure accurate and timely follow-ups for project components

Skills and Qualifications

  • Self starter with ability to work with minimal supervision
  • Ability to be forthcoming with ideas and acceptance of change
  • Strong communication with internal team and external vendors
  • Organized and punctual/leading follow-up process for purchased goods to internal teams
  • Ability to identify discrepancies and find solutions
  • Exemplary organizational skills
  • Ability to think critically
  • Ability to work on a team and vocalize questions
  • Advanced use of Microsoft Office Software, with a focus on excel
  • Ability to learn ERP software(s) and navigate the system

Education and Experience:

  • Post Secondary certification in Business Administration or Procurement is a requirement.
  • Minimum 3 years of purchasing experience within a manufacturing business.
  • An understanding of shop drawings/blueprints is considered an asset.
