Position Details
We are looking for a Corporate & Office Coordinator to join our Victoria office. In this role, you will be responsible for providing administrative, operational, and coordination support to both the Corporate Team and the Victoria office. This role ensures the smooth day-to-day operation of the office while supporting company-wide initiatives, leadership activities, corporate processes, events, and workplace experience.

Key Responsibilities
Corporate Operations & Administration
- Support with expense reporting and travel coordination.
- Assist with insurance renewals and claims administration.
- Coordinate corporate calendars, schedules, and key deliverables.
- Support the preparation of leadership meetings through agenda development, meeting logistics, presentation materials, and documentation.
- Track action items and deliverables associated with corporate initiatives.
- Provide general administrative support to the Corporate Team as required.
Process Improvement & Documentation
- Develop, maintain, and update Standard Operating Procedures (SOPs) for administrative and corporate processes.
- Identify opportunities to improve administrative workflows, consistency, and efficiency.
- Support implementation and communication of new office and corporate processes.
- Maintain documentation standards and process resources.
Corporate Events & Employee Experience
- Assist with planning and execution of company-wide events, including anniversary celebrations, summer parties, and other employee engagement initiatives.
- Coordinate event logistics, vendor communications, registrations, and on-site support.
- Support employee recognition activities, including welcome and birthday initiatives.
- Coordinate Lunch & Learn sessions and other internal events.
Office Operations (Victoria)
- Serve as the primary point of contact for reception and general office administration.
- Answer phones, coordinate courier services, and manage incoming and outgoing mail.
- Support onboarding and offboarding activities in partnership with People & Culture and IT.
- Coordinate office access cards, workstation setup, and office readiness for new team members.
- Maintain office supplies, inventory, kitchen supplies, and workplace resources.
- Coordinate vendor relationships and service providers.
- Manage building-related requests and access through property management systems.
- Serve as the Victoria office representative for Health & Safety and act as the designated Fire Warden, supporting workplace safety initiatives, emergency preparedness activities, and the safe evacuation of employees and visitors during emergency situations.
- Monitor office appearance and shared spaces to ensure a professional and welcoming environment.
- Maintain office information, records, and employee preference details as required.
- Coordinate meeting room bookings and support office technology and facility’s needs.
Qualifications and Experience
- Diploma or certificate in Business Administration, Office Administration, or a related field preferred.
- 3–5 years of experience in office administration, executive support, operations coordination, or a similar role.
- Experience coordinating events, meetings, and administrative processes.
- Experience supporting multiple stakeholders and priorities in a professional office environment.
