POSITION OBJECTIVE/GENERAL PURPOSE
Provide a variety of administrative functions and project support to Conferences and Events department. Provide day-to-day oversight of department operations. Handle projects that may be complex or technical in nature.
ESSENTIAL JOB FUNCTIONS
- Manage and coordinate AWWA small meetings including but not limited to regional section meetings, section workshops, and committee meetings (as assigned).
- Oversee the venue contracting process for ACE and our specialty conferences; including but not limited to submitting and reviewing Requests For Proposals (RFPs), putting together draft contracts, working closely with the lead Conference Manager and hotel teams during negotiations, and making sure all final agreements are signed and saved in SharePoint.
- Assist with ACE housing and lead the invoicing and collecting of all commissions for ACE, specialty conferences and any other event that has a contracted commission.
- Manage the Conferences and Events budget process; including but not limited to creating yearly budget templates, working with budget leads to complete the new yearly budget shells and entering those budgets into the finance department budgeting system.
- Work with department managers to discuss upcoming projects.
Annual Conference Duties to include:
- Oversee the coordination of projects as assigned; to support department-wide projects and/or coordination.
- Work schedules as required including working evenings, and/or weekends as needed.
- Perform other duties and responsibilities as assigned including but not limited to:
- Attend team meetings and training as needed
- Know, understand, and follow employee guidelines, employment policies, and department and company procedures
Education, Certification or Formal Training:
Associate’s degree in related area preferred or equivalent combination of education and work experience in related area.
Work Experience (including computer skills):
- Minimum of four (4) years related administrative experience required.
- Minimum of one (1) year of experience supporting a director-level or higher position preferred.
- Minimum of two (2) years of contracting experience preferred.
- Proficient in MS Office suite required; experience with Adobe InDesign, InCopy and SharePoint preferred.
