Overview
The Presbyterian Association of Musicians (PAM) seeks an organized and detail-oriented Administrative Support Coordinator to provide administrative, logistical, and event support for PAM programs, committees, conferences, and initiatives. This position plays a key role in ensuring the smooth operation of PAM's events, programs, communications, and organizational processes.
This position averages 15-20 hours per week. Responsibilities vary throughout the year, with some duties occurring regularly and others tied to conferences, events, grant programs, and special projects.
Primary Responsibilities
Administrative Support
- Provide day-to-day administrative support for PAM staff, programs, and committees.
- Maintain calendars, records, shared files, and organizational documentation.
- Coordinate meetings, Zoom sessions, and related administrative activities.
- Assist with routine office operations and special projects.
Events & Conferences
- Support planning and logistics for conferences, events, webinars, and meetings.
- Manage registrations, participant communications, travel arrangements, and event materials.
- Assist with housing, meal coordination, contracts, and event logistics.
- Provide support for PAM's Worship & Music Conference and other major events.
Committee & Program Support
- Provide administrative support for PAM committees, leadership teams, and program initiatives as needed.
- Coordinate meeting schedules, materials, communications, and follow-up activities.
- Support PAM programs including grants, learning opportunities, and member initiatives.
Contracts & Organizational Coordination
- Assist with contracts, documentation, reimbursements, and recordkeeping.
- Coordinate collection of required forms, background checks, and event-related paperwork.
- Maintain organized records and support compliance with organizational procedures.
Development & Member Support
- Support fundraising initiatives, donor communications, and development efforts.
- Assist members, event participants, presenters, and volunteers with questions and requests.
- Help foster positive relationships throughout the PAM network and the PC(USA).
Qualifications
- Bachelor's degree or equivalent professional experience in administration, office management, event planning, communications, or a related field.
- Experience in administrative support, event coordination, customer service, or related work.
- Strong organizational, time management, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and deadlines with attention to detail.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office, Google Workspace, Zoom, and related software.
- Ability and willingness to learn new systems and technologies.
