Requirements:
  • Provide administrative support to leadership, managers, physicians, and team members.
  • Coordinate meetings, appointments, conference calls, agendas, and meeting minutes.
  • Arrange physician and executive travel as needed.
  • Process charitable contribution requests by routing them appropriately.
  • Assist departments across the organization with administrative projects and daily operations.
  • Demonstrate teamwork by supporting clinic-wide initiatives and special projects.
  • Serve as the primary contact for office services, supplies, and equipment needs.
  • Maintain office supply inventory, place orders, monitor usage, and distribute supplies throughout the clinic.
  • Manage incoming and outgoing mail, certified mail, postage, and postal equipment.
  • Coordinate break room, physician lounge, and common area supplies, including beverages and recycling.
  • Stock physician refrigerators daily and maintain clean, organized common areas.
  • Ensure refreshments are stocked in designated clinic areas.
  • Help maintain an organized, welcoming environment for employees, physicians, and visitors.
  • Coordinate physician partner meetings, including meal ordering, room setup, and cleanup.
  • Maintain daily cleanliness and organization of employee break rooms.
  • Coordinate food and refreshments for meetings, physician lunches, employee appreciation events, and other special occasions.
  • Assist with holiday decorating and seasonal office setup.
  • Help plan and coordinate employee events, engagement activities, appreciation days, holiday celebrations, and team-building events.
  • Coordinate recognition efforts such as flowers, gift baskets, cards, and gifts for employee milestones and life events.
  • Partner with Human Resources to maintain the annual employee event calendar.
  • Assist Human Resources with interview scheduling and candidate correspondence.
  • Support Accounts Payable by mailing checks, filing paid invoices, and processing expense reimbursements.
  • Perform additional administrative duties and special projects as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Associate degree, preferred.
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Excellent written, verbal, and interpersonal communication skills.
  • Outstanding organizational and time management skills with exceptional attention to detail.
  • Ability to manage multiple priorities while maintaining professionalism and accuracy.
  • Positive, customer-focused attitude with strong problem-solving abilities.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Self-motivated, dependable, adaptable, and willing to assist wherever needed.
  • Previous administrative, office coordination, executive support, or healthcare office experience.
