The JOB:
The Event Service Manager is responsible for coordinating and servicing weddings, social events, and group bookings while working closely with the Catering Sales Team. This position plays a key role in creating exceptional guest experiences—going beyond logistics to help execute unforgettable moments. A strong emphasis is placed on guest satisfaction, communication, and operational excellence.
Requirements: Guest Service & Operational Standards· Maintain full knowledge of departmental policies, service standards, and procedures.
· Properly operate, maintain, and monitor all equipment.
· Anticipate guest needs, respond promptly, and acknowledge all guests.
· Foster positive guest and employee relations at all times.
· Maintain familiarity with all hotel services, features, and local attractions.
· Resolve guest complaints promptly to ensure satisfaction.
· Maintain cleanliness, organization, and sanitation in assigned work areas.
Event Knowledge & Planning
Maintain working knowledge of:
1. Scheduled group functions, locations, timelines, and event requirements.
2. All hotel function spaces, room names, and capacities.
3. Banquet and meeting room setup styles, proficient in diagraming software.
4. Function room features (lighting, sound systems, technology capabilities).
5. Knowledge of menus, pricing and upselling opportunities, guarantee policies, payment policies, rental fees, service charges, shipping/receiving charges.
6. Shipping/receiving policies for outside vendor resources.
7. Banquet service standards and knowledge of different styles of service.
8. Management of social/wedding room blocks for event guests.
Event Coordination, On-Site Servicing and Execution
· Maintain strong cross-functional understanding and collaboration with hotel departments to ensure seamless event execution.
· Manage multiple events simultaneously with strong organizational systems.
· Introduce and manage events after a contract executed through bill review.
Maintain continuous communication with clients throughout planning and on-site execution.
· Review space allocations for accuracy in the function diary.
· Assist in resolving staff and client conflicts.
· Provide clients with all necessary information not covered during booking phase.
· Up-sell food & beverage, décor, amenities, and gifting options.
· Customize menus as needed with approval from the Chef and/or F&B Director.
· Assist clients with vendor referrals and reservations.
· Invoice clients for catering deposits and ensure full payment prior to the event.
· Produce catering/group resumes, agendas, BEOs, and other documentation for internal distribution.
· Collaborate with department heads regarding special requests or considerations.
· Attend weekly BEO and sales meetings.
· Inspect event setups to ensure cleanliness, accuracy, and alignment with client expectations.
· Assist banquet staff as needed to ensure outstanding guest experiences.
· Greet clients and meet with them on the day of the event, make appropriate introductions to Banquet Supervisor.
· Communicate all last-minute updates to Banquets and the Kitchen.
Requirements
· Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or a related field preferred.
· 3–5 years of experience in a similar role preferred.
· Strong organizational and project management skills with the ability to manage multiple priorities.
· Proficiency in event management software and Microsoft Office Suite.
· Excellent communication and interpersonal skills.
· Strong attention to detail and commitment to service excellence.
