Sales Coordinator at Under Canvas – Belgrade, Montana

Summary

Enthusiastically and successfully support the sales of Under Canvas’s portfolio of properties to prospective groups including corporate retreats, wellness weekends, yoga retreats, weddings, family reunions, and more. Both our venues and processes are highly unique in comparison to a typical hotel, and an ability to approach problems creatively and adapt to new challenges will be essential to success in this role.

Responsibilities

• Provide ongoing operational support for all of our contracted Tour Series including, but not limited to: revisions and adjustments to trips, rooming list entry, event order creation and distribution to property teams, coordination of special requests and obtaining feedback throughout the season from both the client and property teams
• Setup client site visits & overnight stays with the on-property management teams
• Manage setup, reporting, task management, event order creation, and more in our Sales & Catering software
• Oversee detailing process for small groups as assigned
• Collect deposits on time, considering any recent adjustments made to the group’s needs
• Navigate hotel property management system to evaluate rates and availability, enter rooming lists, process payments, and more
• Be “the expert” for clients by obtaining a clear understanding of Under Canvas’s numerous venues and diverse capabilities to facilitate successful events on-site
• Make deliberate decisions, problem solve, and proactively seek out applicable resources and information as needed when faced with a challenge
• Develop strong relationships with operational staff at each venue to ensure event’s success
• Represent Under Canvas positively and with enthusiasm for our core values
• Immerse yourself in serving our clients throughout the entire process
• Other duties as assigned

Preferred Qualifications

• High School Diploma or GED
• Minimum of 2 years of hotel sales support experience preferred
• Clear, effective, appropriate, and timely communications – both written and verbal
• Comfortability with creative problem solving
• Strong computer skills including typing
• Logistically and operationally minded
• Strong organizational skills with meticulous attention to detail
• Exceptional guest service focus

Additional Information

• Occasional travel required up to 10%
• This is a remote position, but we prefer candidates based in Bozeman, MT or Denver, CO
• This position is contingent upon the satisfactory completion of a motor vehicle records check, if requested by Under Canvas.
