At Vortex, safety comes first in everything we do, and we foster a fast-paced environment built on teamwork, training, and continuous improvement.
We are seeking an experienced Logistics & Shipping Manager to own and oversee all domestic and international shipping operations out of our Sandy, UT facility. This is a hands-on leadership role responsible for the full shipping lifecycle — from order assembly, labeling, and pallet building, through freight scheduling, documentation, and regulatory compliance for both standard and hazardous materials shipments.
The ideal candidate brings deep knowledge of multimodal hazardous materials regulations (DOT 49 CFR, IATA, and IMDG), direct experience coordinating domestic LTL and parcel shipments as well as international import/export freight, and the organizational skills to manage a small team while keeping shipments moving accurately and on time. This role works closely with customer service and customers directly to schedule and confirm freight, resolve issues, and ensure a seamless shipping experience.
Key Responsibilities
Order Assembly & Warehouse Operations
• Accurately pick, label, and assemble customer orders for domestic and international shipment in accordance with order specifications.
• Build, wrap, and stage pallets correctly for LTL, parcel, air, and ocean freight, ensuring load integrity and carrier compliance.
• Operate forklift and material handling equipment to load, unload, and stage freight safely and efficiently.
• Maintain an organized, clean, and compliant shipping area; ensure all outbound and inbound materials are properly identified and stored.
• Assist with periodic physical inventory counts and reconciliation of shipping stock.
Freight Coordination & Customer Communication
• Coordinate directly with customers and the internal customer service team to schedule outbound domestic and international freight pickups and deliveries.
• Communicate proactively with customers regarding shipment status, delays, or documentation requirements.
• Source and negotiate freight rates with LTL carriers, parcel carriers (UPS/FedEx), freight brokers, and 3PL partners to ensure cost-effective and timely delivery.
• Track all active shipments and resolve carrier issues, delays, or claims promptly, keeping all stakeholders informed.
• Maintain accurate shipping logs, records, and carrier performance documentation.
Domestic & International Shipping Documentation
• Prepare all required shipping documentation for domestic LTL and parcel shipments, including bills of lading (BOL), packing lists, and shipping labels.
• Prepare and manage full export and import documentation packages for international shipments, including commercial invoices, certificates of origin, export declarations (EEI/AES), customs entry documentation, and shipper’s letters of instruction (SLI).
• Coordinate with customs brokers, freight forwarders, and government agencies as needed to ensure smooth clearance of inbound and outbound international shipments.
• Ensure all shipments comply with applicable trade regulations, export controls, and country-specific import requirements.
Hazardous Materials Compliance
• Classify, package, mark, label, and placard hazardous materials shipments in full compliance with DOT 49 CFR (ground/LTL), IATA Dangerous Goods Regulations (air), and IMDG Code (ocean/vessel).
• Prepare accurate and compliant hazmat shipping papers, shipper’s declarations for dangerous goods, and emergency response documentation for all applicable shipments.
• Maintain current certifications in DOT 49 CFR, IATA DGR, and IMDG; complete required recurrent training on schedule (every 3 years for DOT/IMDG; every 2 years for IATA).
• Ensure all hazmat employees under this role’s supervision are properly trained, documented, and compliant with applicable hazmat regulations.
• Maintain accurate hazmat training records and shipping compliance files as required by DOT (49 CFR 172.704) and international regulations.
• Serve as the facility’s subject matter expert for hazardous materials shipping questions from internal teams, carriers, and customers.
Team Leadership & Reporting
• Directly supervise at least one direct report; assign daily tasks, provide coaching, and ensure team members follow all safety and compliance procedures.
• Train and develop direct reports on shipping procedures, hazmat compliance, documentation requirements, and safe equipment operation.
• Track and submit accurate monthly expense reports using Microsoft Excel and Outlook.
• Provide regular shipping activity updates and performance reports to management.
• Identify and implement process improvements to increase shipping accuracy, efficiency, and compliance.
• Comply with all company policies, OSHA standards, and safety regulations at all times.
Required Qualifications
• 3+ years of experience in a shipping, logistics, or warehouse operations role with direct responsibility for domestic and international freight.
• Active and current certifications in all three hazmat shipping modalities: DOT 49 CFR (Ground/LTL), IATA Dangerous Goods Regulations (Air), and IMDG Code (Ocean/Vessel).
• Demonstrated experience preparing hazmat shipping documentation, including shipper’s declarations, BOLs, and emergency response information for multi-modal shipments.
• Experience managing or coordinating international import and export shipments, including customs documentation and trade compliance.
• Valid forklift certification or ability to obtain certification upon hire; demonstrated safe forklift operation experience.
• OSHA 10 certification required; OSHA 30 is a plus.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook) for documentation, reporting, and communication.
• Ability to accurately track and submit monthly expense reports.
• Strong attention to detail and a compliance-first mindset.
• Excellent communication and coordination skills for working with customers, carriers, brokers, and internal teams.
