This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Coordinator, Marketing Onboarding based in Canada.
As a Coordinator, Marketing Onboarding, you will help newly acquired dental practices transition smoothly into a growing national network.
You will coordinate onboarding activities, manage critical practice information, and ensure key requirements and deliverables are completed accurately and on time.
Your work will help create a positive first experience for new partners while laying the operational and marketing foundations for their future success.
You will collaborate closely with Marketing, Operations, IT, and Corporate Development teams in a dynamic, cross-functional environment.
The role combines coordination, data management, project tracking, and exposure to digital marketing operations.
You will also contribute to improving workflows, strengthening data quality, and making the onboarding experience more efficient and consistent.

- Coordinate onboarding activities for newly acquired practices, ensuring key requirements and milestones are completed accurately and on schedule.
- Complete onboarding intake documentation and ensure all required practice information is collected, validated, and submitted on time.
- Compile, verify, and maintain practice data gathered from multiple internal and external sources.
- Monitor onboarding progress, identify missing or inconsistent information, and proactively follow up with relevant stakeholders.
- Maintain onboarding workflows, task assignments, and progress updates within Asana and other relevant systems.
- Track marketing and onboarding deliverables, provide regular status updates, and escalate potential risks, delays, or information gaps when necessary.
- Collaborate with Marketing, Operations, IT, and Corporate Development teams to coordinate requirements and ensure alignment throughout the onboarding process.
- Support the execution of marketing deliverables that help newly onboarded practices establish a strong foundation from day one.
- Maintain accurate and up-to-date onboarding records and contribute to strong data quality across systems.
- Identify opportunities to improve onboarding processes, workflows, and cross-functional coordination.
- Contribute to continuous improvement initiatives designed to increase efficiency and create a more consistent partner experience.
- Take ownership of assigned activities and ensure commitments are followed through to completion.
- 1–3 years of experience in coordination, administration, project support, marketing operations, or a similar role.
- Experience using project management or workflow management software; Asana experience is preferred.
- Demonstrated ability to track multiple tasks, manage competing priorities, and provide clear and timely status updates.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills, with the ability to collaborate effectively across multiple teams.
- Proficiency with Microsoft Excel, Word, PowerPoint, and Outlook.
- Exposure to digital marketing operations, including SEO, paid media, website operations, or related areas.
- Strong ability to work independently while maintaining effective communication with cross-functional stakeholders.
- Proactive, dependable, and accountable approach, with a willingness to take ownership of responsibilities and follow through.
- Adaptable and solutions-focused mindset, with the ability to remain effective as processes and priorities evolve.
- Genuine interest in marketing operations and how cross-functional teams contribute to business growth.
- Experience in healthcare, multi-location retail, franchise, or service-based organizations is an asset.
- Candidates must be legally eligible to work in Canada.
- CAD $60,000–$75,000 annual salary, with offers determined by relevant experience, skills, qualifications, and internal equity.
- Eligibility for a bonus of up to 10%.
