About This Position

Administrative Secretary - Pharmacy Administration


Minimum 3 years experience of progressive work experience in an administrative support capacity is required for consideration

A Brief Overview
Performs complex administrative support services for Director or Manager(s) of multi-level area(s). Coordinates administrative functions to achieve departmental goals and support departmental managers as needed.

What you will do

  • Plans and coordinates office activities and performs administrative activities. Handles administrative matters in accordance with established time frames and guidelines. Ensures confidentiality of information. * Ensures all visitors and telephone calls are handled in a courteous and friendly manner. * Prepares and produces a variety of materials including correspondence, memos, contracts, reports, minutes of meetings, etc. * Composes correspondence and memos as instructed * Schedules appointments and maintains calendars; arranges/coordinates conferences and meetings; and makes travel arrangements. * Assists in coordinating the distribution of materials, reports, etc. * Processes departmental mail in a timely manner. * Requisitions and maintains adequate levels of office supplies and ensures that equipment is in good condition. * Provides research and administrative support to special projects. * Performs time and attendance responsibilities per payroll policies and procedures.
  • Performs departmental specific tasks to support managerial and administrative staff as required for efficient operation of the department
  • Interacts and works collaboratively with patient/family/hospital staff/media/government officials/executive staff and board members in a customer responsive and courteous manner, in compliance with iRESPECT standards and promoting patient/customer satisfaction.
  • Maintains confidentiality of patient, department and/or hospital information. Adheres to established department and organization policies in releasing patient information (i.e. HIPAA, Confidentiality, and Compliance Policies).
  • Reviews and verifies forms, reports and documents for accuracy and completion.
  • Compiles and prepares various reports and data, collates and assembles reports and documents as required. Utilizes computer to enter and format data, generate statistics, computations, tables, or charts.
  • Maintains required department records, contracts, reports and files for administrative and compliance purposes. Maintains established department's policies, procedures, compliance/quality improvement, safety, environmental and infection control program.
  • Communicates and works effectively with others to answer inquiries, provides information/assistance and coordinate activities.
  • Completes required continuous training and education, including department specific requirements. Responds to problems/opportunities to improve work environment and participates in unit based performance improvement activities.
  • Handles special projects and performs other duties/responsibilities as required.

Qualifications
  • High School Diploma or equivalent with specialized training in administrative support skills required.
  • Minimum 3 years experience of progressive work experience in an administrative support capacity required. Combination of education and/or work experience can be considered.
  • Additional experience specific to area(s) of assignment may be required
