About This Position
Position Summary
Miller-Remick is looking for a highly organized Administrative Assistant to join their team. This vital role will handle day-to-day tasks, ensuring smooth operations in a fast-paced office environment. The ideal candidate must have excellent communication skills to provide timely support to all levels of staff.
This role is fully in-office with anticipated hours of Monday – Friday 8am – 5pm.
Key Responsibilities:
Front Desk Management:
- Prioritize, organize, and manage daily administrative operations in a fast-paced, deadline-driven engineering environment
- Welcome and greet and assist clients, vendors, and visitors in a warm professional manner, ensuring a positive office experience
- Answer, screen, and route incoming calls; respond to general inquiries and ensure timely communication with internal staff and external clients
Clerical Support:
- Monitor and restock office supplies and maintain office equipment
- Maintain and stock the reception and common areas in a clean and tidy manner at all times (Kitchen, Conference Room, etc.)
- Perform photocopying, scanning, preparing binders and basic data entry
Correspondence & Mail:
- Receive, sort and distribute incoming mail and deliveries Schedule and track courier services and shipments of project-related materials
Administrative Support:
- Provide administrative support for the Principals, Directors and Project Managers as requested.
- Maintain and manage office calendars, coordinating and scheduling meetings, including preparing new hire agendas, reserving conference rooms, and coordinating luncheons as needed
- Update and maintain company phone lists and client deliverables calendar.
- Manage monthly VA TIL updates and other compliance-related documentation
- Perform additional administrative duties and special projects as assigned

Education and Experience Requirements:
- Minimum 2 years of administrative experience required; experience in HR administration a plus
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational, time management, and multitasking skills
- Excellent written and verbal communication abilities
- Ability to work independently and collaboratively in a team-oriented environment
- Experience supporting technical or engineering teams preferred
- Ability to lift up to 30 pounds
