Position Summary
The Accounting Lead is responsible for supporting the day-to-day Accounts Receivable and Accounts Payable functions. This position supports the accurate processing of customer payments, timely handling of vendor invoices, and proper documentation within accounting and wholesale platforms. The Accounting Lead works closely with the Chief Financial Officer and collaborates with the sales team to address weekly billing matters. This position requires strong attention to detail, organization, and adherence to established procedures and compliance standards
Role & Responsibilities
· Log and track incoming checks on the network.
· Copy checks, separate them from remittance documentation, and submit for deposit processing while retaining organized records.
· Complete and verify wholesale billing each Monday and submit the weekly sales report from the wholesale platform to the Chief Financial Officer.
· Maintain accurate and organized customer files.
· Review the Accounts Receivable aging report on a weekly basis and communicate collection concerns to the Chief Financial Officer.
· Respond to customer inquiries and initiate follow-up communication regarding outstanding balances.
· Monitor Accounts Payable email inboxes daily for incoming vendor invoices.
· Review invoices in the accounting system to identify and prevent duplicate entries prior to processing.
· Prepare new invoices for management review and approval.
· Submit invoices for approval on a weekly basis and ensure approved invoices are scanned, properly coded, and uploaded into the accounting and inventory management systems with supporting documentation attached.
· Maintain accurate and organized vendor files.
· Respond to vendor inquiries regarding payment status and request invoices when necessary.
· Collaborate with the Disbursement Lead to ensure all invoices are properly prepared in the accounting system for payment processing.
Additional Responsibilities
· Collaborate with all department heads.
· Provide support to the Chief Financial Officer with projects and task as needed.
· Maintains a clean, organized and professional work environment.
Qualifications
· High school diploma or GED required, associate's degree in business or a related field preferred.
· Prior restaurant or hospitality experience is a plus.
· Experience with QuickBooks, Online Enterprise, BlueCart, and Toast preferred.
· Proficiency in Microsoft Office Suite required.
· Reliable transportation required.
