About This Position

Location: Remote

Job Summary: We are seeking a detail-oriented and proactive Billing and Collections Specialist to join our finance team. The ideal candidate will be responsible for managing the billing process, ensuring timely collection of outstanding payments, and maintaining accurate financial records.

Key Responsibilities:

  • Billing: Prepare and issue invoices to customers, ensuring accuracy and compliance with company policies.
  • Collections: Monitor accounts receivable and follow up on overdue payments through phone calls, emails, and letters.
  • Customer Communication: Communicate with customers to resolve billing issues and answer inquiries regarding their accounts.
  • Payment Processing: Record and process customer payments, including checks, credit card transactions, and electronic transfers.
  • Account Reconciliation: Reconcile customer accounts and resolve discrepancies in a timely manner.
  • Reporting: Generate and distribute accounts receivable reports to management, highlighting any issues or concerns.
  • Documentation: Maintain organized and accurate billing and collections records.
  • Compliance: Ensure compliance with internal controls, accounting standards, and regulatory requirements.
  • Audit Support: Assist with internal and external audits by providing necessary documentation and information.
  • Other Duties: Perform other billing and collections-related tasks as assigned by the finance manager.

Qualifications:

  • Associate's degree in Accounting, Finance, or a related field; Bachelor's degree preferred.
  • Proven experience in billing, collections, or a related accounting role.
  • Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Office Suite (Excel, Word).
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Strong communication and interpersonal skills.
