Job Summary:

The Administrative Assistant provides day-to-day administrative support to ensure efficient office operations within a fast-paced manufacturing environment. This role serves as a key point of coordination between office staff, production teams, visitors, vendors, and internal departments. The Administrative Assistant supports office administration, employee communications, visitor management, onboarding logistics, and document control while helping maintain compliance with company policies, GMP requirements, and administrative procedures.

Key Responsibilities:

· Provide front desk coverage by greeting visitors, answering phone calls, and directing inquiries to the appropriate departments.

· Support daily office operations, including filing, scanning, document preparation, data entry, and record maintenance.

· Maintain organized and accurate administrative records, employee rosters, phone lists, and other company documentation.

· Assist with ordering and tracking office supplies, uniforms, personal protective equipment (PPE), and other administrative materials.

· Coordinate meeting logistics, conference room scheduling, catering arrangements, plant tours, and corporate visitor visits.

· Support onboarding activities by preparing new hire materials, distributing badges, coordinating workspace setup, and assisting with orientation logistics.

· Assist with employee communications, announcements, bulletin board updates, and company-wide administrative notices.

· Coordinate with vendors, delivery services, and contractors to support office and facility operations.

· Support HR, Finance, and Operations departments with document routing, timecard collection, administrative reporting, and recordkeeping activities.

· Monitor visitor sign-in procedures and assist with facility access control in accordance with company policies and GMP requirements.

· Coordinate with IT regarding basic equipment requests, office technology needs, and new hire setup requirements.

· Maintain administrative logs, training records, and compliance-related documentation as assigned.

· Assist with company events, employee engagement activities, and special projects.

· Serve as a liaison between office staff and operational departments to ensure effective communication and coordination.

· Maintain confidentiality when handling employee information, company records, and other sensitive business information.

· Execute additional responsibilities as required to meet evolving business needs and leadership directives.

Requirements:

Require Qualifications:

Education & Experience:

· Bachelor’s degree in Business Administration, Office Administration, Human Resources, Communications, or a related field required.

· Previous experience in an administrative, office support, coordinator, or customer service role preferred.

· Experience in a manufacturing, warehouse, or industrial environment preferred.

Skills & Competencies

· Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.

· Excellent verbal and written communication skills.

· Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

· Strong attention to detail and commitment to accuracy.

· Professional, dependable, and customer-service oriented.

· Ability to handle confidential and sensitive information with discretion.

· Ability to work independently while collaborating effectively with cross-functional teams.

· Bilingual English and Mandarin Chinese is preferred.
