This is a temporary, full-time, onsite position located at our job site near Manhattan, NY. The project is expected to last approximately 2 years. Hours are Monday – Friday, 40 hours per week with possible overtime.

Summary:

  • Performs various administrative tasks related to the daily operation of assigned district or department.

Essential Functions:

  • Provides administrative support to department and manager. Support engineers and field employees on jobsite with various project related tasks and responsibilities.
  • Maintains extensive filing system to ensure back up of all invoices and correspondence
  • Set up spreadsheets using Excel; edit various PDF documents
  • Maintains project sign-in/sign-out log
  • Ensures proper paycheck distribution, and time input for hourly based employees
  • Maintains up to date knowledge of Union Employees’ benefits, changes, and wage adjustments.
  • Set up and coordinate meetings and conferences
  • Maintains and updates project safety meeting and training logs
  • Research, price, and purchase office supplies
  • Handles travel arrangements for all district members going to out of state jobs
  • Prepare shipments for UPS and Fed Ex packages
  • Arrange accommodations for out of state employees
  • Assisting in new employee orientation and proper set up of paperwork required

Requirements:

  • Minimum of Associates Degree and/or 3+ years of related administrative experience. Previous experience or interest within the construction industry is preferred.
  • Must have strong computer skills with the ability to quickly learn and utilize new software as needed. MS Office, specifically Excel and Word programs, are required. Must have the ability to set up spreadsheets in Excel.
  • Professional communication skills and demeanor.
  • Well-organized with the ability to multi-task
  • Must be detail oriented
  • Identify and resolve conflict as needed
