Job Description
Summary:
This position is responsible for assisting our business administrators and executive team in financial management of the Agency. Duties include performance reporting, cash flow management, Accounts Payable, Accounts Receivable, payroll, responsibility for client accounts, department licensing requirements, DSS and SS reporting, and maintenance of payroll and HR records. This position requires a broad knowledge of general accounting practices.
ESSENTIAL DUTIES and RESPONSIBILITIES: Other duties may be assigned.
- Prioritize and manage multiple projects and follow through on issues in a timely manner.
- Provides office operations support such as preparing and composing confidential correspondence on own initiative, receiving and screening telephone calls and visitors, and screening and prioritizing mail.
- Complete journal entries for revenues and expenses, Accounts Payable, Accounts Receivable, and fixed assets.
- Responsible for the assisting in the preparation and maintenance of the Agency’s financial records including but not limited to:
- Posting to the General Ledger
- Weekly cash flow reports
- Monthly financial statements and reports
- Responsible for the managing client finances, reconciliation of all monthly bank statements, resident’s personal funds and the replenishing of petty cash accounts.
- Process the billing for all Accounts Receivable as needed.
- Responsible for the management of Agency vehicles and department contractor and licensing requirements.
- Complete monthly financial reporting for clients.
- Complies with all Agency health and safety policies and procedures.
- Attend meetings, seminars, etc. to stay current on required accounting/payroll procedures and best practices.
- Assist the Administrative Associate, as needed in with the operation of the main office.
- To perform any other duties as assigned or required by the Business Administrator or his/her designee.
- Assist as needed with Agency sponsored events to include coordinating fundraising.
- Attend Board of Directors meetings when requested.

Work cooperatively with Agency personnel, families, and other agencies in providing and implementing the Agency’s mission.
Communicate effectively, professionally, and respectfully to all clients, Agency staff, and community and outside Agency personnel
Requirements:COMPETENCIES:
Proficient in MSOffice, Word, Excel, Power Point, Agency accounting/agency software and the Internet.
Excellent verbal and written communication skills
Must have good command of the English language, oral and written.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The ability to work independently with little supervision. Must have training in office procedures and use of office equipment. Must have the ability to communicate accurately and clearly both orally and in writing; pleasant telephone manner; able to think on feet when dealing with callers; possesses service oriented “can do” approach to work. Must have superior organizational skills and accuracy. Excellent problem solving and people skills also required.
EDUCATION AND/OR EXPERIENCE:
Bachelor’s degree or High School or equivalent Diploma with a minimum of four years related experience.
LANGUAGE SKILLS:
Ability to read and interpret English documents such as safety rules and procedure manuals. Ability to write routine reports and correspondence in English. Ability to effectively present information and respond to questions from clients, families, regulatory agencies, and other employees.
MATHEMATICAL SKILLS:
Ability to perform, basic mathematic skills, the ability to analyze figures, knowledge of accounting principles.
REASONING ABILITY:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving several concrete variables.
