Job Description
The Office of the President is currently seeking an Administrative Assistant. This position supports the Executive Assistant to the President, and the President's Office. The ideal candidate will have strong communication and organizational skills. They should be a highly motivated individual that is comfortable working independently and in a team setting. Qualified candidates should be able to work with minimal supervision and have exceptional attention to detail. Some of the duties are:
- Answers telephone and give information to callers, takes messages, and transfers calls to appropriate individuals.
- Greets visitors or callers and manage their inquiries; or direct them to the appropriate person(s).
- Opens, reads, routes, and distributes incoming mail or other materials and answers routine letters.
- Sets up and manages paper and electronic filing systems.
- Works closely with assistants of other administrators to manage workflow and communications.
- Uses various information technology applications such as email, database, and word processing.
- Operates office equipment such as printers, scanners, and copiers; and arranges for repairs when equipment malfunctions.
- Maintains scheduling and event calendars. Schedules and confirms appointments for anyone interacting with the President's office.
- Coordinates conferences, meetings, or special events, such as luncheons or graduation ceremonies.
- Manages and books detailed travel arrangements for staff.
- Tracks multiple budgets and reconciles accounts monthly for Office of the President.
- Completes forms in accordance with SUNY policies & procedures such as but not limited to procurement, payment transmittals, travel requests, etc.
- Composes, types, and distributes meeting notes, correspondence, and reports.
- Reviews work done by others to check for correct spelling and proper grammar, ensures that office format policies are followed, and recommends revisions.
- Searches for information using all resources available.
- Manages projects, serves on and represents the office on various campuswide committees.
- Mails various items including letters, reports, and promotional materials; and prepares packages and arranges for them to be shipped.
- Orders and distributes supplies.
- Create conference or event materials such as flyers or invitations using appropriate software.
- May supervise other clerical staff and provide training and orientation to new staff as well as create work procedures and efficiencies in the office.
- Directly assist President when needed.

Job Requirements:

Minimum Qualifications:
- Promotion: one year of service in a clerical title allocated to Grade 6 and above; and completion of a two-year traineeship*.
- Non-competitive: high school diploma or high school equivalency diploma; and two years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

The hiring rate for this position ranges from $42,209-$49,841
