Job Description
The Diagnostic Coordinator manages and coordinates all diagnostic testing schedules, authorizations, and patient workflows within the ENT practice. This role ensures that patients seamlessly transition from their initial ENT consultation to required diagnostic testing (such as audiology exams, CT scans, sleep studies, and allergy testing) and follow-up care. The ideal candidate is highly organized, possesses excellent communication skills, and has a strong grasp of medical terminology and insurance prior-authorization processes.
Key Responsibilities-
Care Coordination: Schedule patients for internal diagnostic testing (e.g., audiograms, tympanometry, videonystagmography, allergy skin testing) and external testing (e.g., CT scans, MRIs, sleep studies).

Insurance Verification & Prior Authorization: Obtain necessary pre-authorizations from insurance companies for diagnostic procedures and imaging to ensure coverage before appointments.

Patient Education: Explain diagnostic procedures, preparation requirements (e.g., stopping antihistamines before allergy tests), and what to expect during testing to ease patient anxiety.

Tracking & Results Management: Track outstanding diagnostic reports, ensure results are received promptly from external facilities, and route them to the ordering ENT physician for review.

Triage & Communication: Act as the primary point of contact for patients, physicians, and external imaging centers regarding diagnostic orders and scheduling.

Documentation: Maintain accurate, up-to-date records in the Electronic Health Record (EHR) system regarding authorization statuses, scheduled tests, and patient communications.

Experience: 1–3 years of experience in a medical office environment (ENT, audiology, or allergy practice experience is highly preferred).

Knowledge: Strong understanding of medical terminology, CPT and ICD-10 coding, and the insurance prior-authorization process.

Skills: Excellent communication, multitasking, and problem-solving skills; proficiency with Electronic Health Record (EHR) and practice management software.
