The RoleThe Finance Operations Specialist supports day-to-day financial operations, procurement coordination, grant administration, and contract management functions across the network and schools. This role serves as a key operational partner to central office teams and school based leaders by supporting transaction management, troubleshooting financial processes, monitoring grant-related spending, and coordinating vendor and resource management systems.
Primary ResponsibilitiesFinance OperationsSupport network and school operations stakeholders in executing day-to-day finance transactions in support of programming
Manage network and school reporting and communication related to credit card administration, expense coding, and spend analysis
Maintain finance knowledge management resources, including key financial operations documents and process guides
Support troubleshooting of financial operations issues and escalate unresolved matters to appropriate Finance team members
Pull financial reports and budget information from Sage Intacct and other network systems to support data triangulation and analysis
Serve as NYSTL order coordinator and support centralized planning and purchasing processes
Support grant expense tagging in the accounting system ensure accurate coding and compliance
Assist with monitoring grant-related expenditures and maintaining supporting records
Provide financial operations support to development and other cross-functional teams by gathering financial documentation and budget information
Maintain organized grant documentation systems to support reporting and audits
Support ongoing development and improvement of financial operations systems and processes
Partner with program and finance teams to track grant utilization and proactively identify underspend or overspend risks
Manage general finance email accounts and ensure that invoices and related inquiries are directed to the appropriate team and/or school
Maintain databases for contract tracking, documentation collection, renewal monitoring, and coordination across teams
Assist stakeholders, including Finance and Operations leaders, with vendor management workflows and spend tracking
Coordinate contract review process with Finance, Legal, Operations, and relevant program leads
Assist with network-wide contract coordination and vendor communication processes
Resource Allocation Monitoring
Support in the monitoring budgets for key network initiatives and extended learning programs
Identify trends, spending patterns, and opportunities for operational and financial efficiencies
Assist in preparing related reports, presentations, and supporting materials for Finance leadership as needed
Qualifications
Bachelor’s degree in Finance, Accounting, Business Administration & Operations, or related field required.
3–5 years of experience in finance operations, budgeting, procurement, grants administration, or related operational support roles required.
Experience working with financial systems such as Sage Intacct, Excel, and Google Sheets preferred
Experience analyzing operational and financial data across multiple sources
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Preferred Characteristics

Employees at Prospect Schools are provided with a competitive salary. Our salaries are set through a lens of equity, and based on an individual’s skills, education, and years of experience relevant to the role. The salary range for this role starts at $71,000 and increases based on relevant years of experience.
