Position Overview
We are seeking a detail-oriented, customer-focused Administrative Assistant to support our sales, billing, and operations. This role is critical to maintaining smooth day-to-day administrative functions and delivering an excellent customer experience. The ideal candidate is comfortable with technology, communicates clearly, and takes pride in organization and follow-through.
Responsibilities
Duties include, but are not limited to:
- Answering incoming phone calls and managing/responding to emails
- Receiving, distributing, and tracking sales leads
- Taking customer payments via credit card, ACH, and processing check payments
- Contacting customers regarding past-due invoices and failed auto-draft payments
- Handling customer cancellation requests, including retention efforts and processing cancellation paperwork
- Converting approved sales proposals into work orders
- Invoicing customers for completed work and recurring monthly services
- Producing and distributing insurance certificates and assisting customers with obtaining alarm permits
- Maintaining accurate customer records and ensuring data is entered correctly and consistently
- Supporting multiple departments and helping keep daily operations running smoothly
