Swift Passport and Visa Services is seeking a highly organized, customer-focused Client Services & Operations Liaison to join our growing team in the heart of River North, Chicago. We’re looking for a motivated professional who can confidently balance front-office customer service with behind-the-scenes operational support. The ideal candidate is detail-oriented, tech-savvy, adaptable, and passionate about delivering an exceptional client experience.
What You’ll Do
Client Services & Front Office Support
- Serve as the welcoming first point of contact for walk-in clients
- Assist clients with passport and visa services, including China visa processing
- Review documents, answer questions, and guide clients through application processes
- Deliver a high level of professionalism and customer service at all times
- Maintain an organized, polished, and efficient front office environment
Operations & Processing Support
- Coordinate daily submissions, pickups, and shipments with the Chinese Consulate in Chicago
- Manage outbound shipping for expedited passport services
- Support Chicago-based visa services and occasional consulate visits
- Process e-visas and review client documentation for accuracy and completion
- Assist various departments based on daily workflow and operational priorities
- Help ensure smooth, timely, and accurate processing across all services
What We’re Looking For
- Prior customer service experience required
- Strong technical and computer skills required
- Experience with CRM systems, Microsoft Word, Excel, and Microsoft Office required
- Experience with SAS, HubSpot, or Salesforce is preferred but not required
- Ability to multitask and stay organized in a fast-paced environment
- Excellent communication and interpersonal skills
- Strong attention to detail and problem-solving ability
- Comfortable working independently while also collaborating with a team
- Someone eager to grow, develop professionally, and take on new responsibilities
- Passport or visa processing experience is a plus, but not required
